Start Job Change Transaction

As announced in August, the Job Change transaction has been revamped with a new look and improved functionality:
  • New Name. Click on related actions – the new name is Job Change > Start Job Change.
  • Fewer Reasons. You’ll now see a much shorter list of selections in the “What do you want to do field?”.
  • Improved Data Entry. You will only be able to edit fields that are relevant to the reason selected.
  • Refer to the Training section below for updated resources

Time & Absence: New Apps and UI

The absence application has been redesigned and replaced by two new icons – Request Absence and Manage Absence. The streamlined layout features pop-up calendars, improving user experience and reducing the number of clicks to submit time off requests/view balances.  Additional highlights include the ability for employees and managers to view a consolidated calendar of peer/team members’ absences. Refer to the Training section below for updated resources.

Performance Management: Close Out of Prior Year Review and Goal Setting Launched

At the end of the last academic year, we closed out the performance review process in PeopleSync, mass advancing any incomplete forms that were past the due date and archiving goals. In the coming weeks, schools and units will begin the goal setting process for AY’26.
To schedule the launch of your group’s Goal Setting form, submit a PeopleLink ticket, and you can refer to the Performance Review Process In PeopleSync for HR for helpful reports that you can run to monitor this process. Be sure employees have the link to the Performance Communication web page, which has both the goal setting and performance reviews in PeopleSync tip sheets.

AMI Updates: Submit Ratings Due by 9/30/25

The following was recently posted on the HRO Blog: If you have not already done so, please contact PeopleLink via a Service Center Inquiry (for HR Community) or PeopleLink ticket (for others) and submit an Excel file with the performance ratings for any employees who were removed from the FY26 AMI process. Include employee name (last name, first name), N number, and FY25 rating. 

Preparing Adjunct Hours for Annual Enrollment

This is a reminder that annual enrollment for benefits begins in October. If you have not done so already, please check that the hours of adjuncts are correct in PeopleSync.  Note that hours from the previous AY determine eligibility CY 26.

Early Dismissal Notices – AY 26 Scheduled in PeopleSync

PeopleSync sends a reminder to managers or timesheet approvers of regular, non-student, non-exempt employees of the one hour dismissal the business day before a holiday. Refer to the schedule and a sample notification.

Training Reminders: Redundant Role Assignments

For Security Partners. In the tip sheet we will have highlighted roles which are redundant; i.e. both roles provide the same level of security/access therefore you do not need to assign both. These are:
  • If the employee is a manager of the sup org, you do not need to assign Concur Travel and Expense role as Concur will automatically assign the manager to this role.
  • Both HR Analyst and HR Partner have the same access to edit/view/approve timesheets as the Time & Absence Partner role.

Checking the NRPPT Date

If you are entering hours retroactively into a timesheet for a Biweekly or Weekly paid employee, be sure to check the No Retro Processing Prior To (NRPPT) date. In the employee record, click on Overview, then All Jobs Overview. Scroll to the right to locate this date. If the hours are before this date, please submit an offcycle request.

Ticket Spotlight

The student has graduated, but there is still a pool job. Can you end this? We are hiring the employee into an FT or PT regular (non-student) job. 

If the student has graduated, the system will automatically terminate the student. You can then rehire the employee into the position or job. Note: to terminate, all non-primary jobs must be ended. Be sure to end these first.  If the non-primary job is not with your school, you can contact that school’s HR department and have them end the job. Please do not submit a primary job switch to switch out primary student pool jobs. If you have questions on this, please open a ticket. Refer to the tip sheet for details.

Can you cancel the I-9? Can you launch the I-9?

Yes, while the ESM and HR Transactions Team can cancel an I-9, this can also be done by the following roles: I-9 Partner, HR Analyst, and HR Partner. Refer to the tip sheet for steps on cancellingNote: You can only cancel an I-9 that is In Progress.

No, we cannot launch the I-9. The employee launches this form by searching for “Form I-9”. Note, to reverify an I-9, select the Section 3 Reverify button. (Refer to the Complete Form I-9 Approvals tip sheet for details, see #8).

The title is wrong in an Administrative/Professional record, why did this happen, and how can I correct it?

When processing Hire, Add Job, and Start Job Change, you can complete the Job and Business Title fields. Both are open text fields. Note that these fields prepopulate to match the name of the job profile. Therefore, you should always check to see if this is the intended title. A soft error alert in orange appears to warn you of this.

For Admin/Professionals and Staff the Job Title should match the official title which is reflected in JDX (as well the  position restrictions.) The Business Title can be a custom title which does not require approval from the Compensation Team.

Outside of the above the transactions if you want to edit these fields, follow the steps below:

  1. Job Title. Process an Edit Position > Title Change in JDX. Refer to the Edit Position in JDX. Once the Compensation Team approves the transaction, the title will automatically update in the employee’s record
  2. Business Title. – Process a Change Business Title.
Lastly, if you made a mistake in these fields in the Hire, Add Job or Start Job Change transaction, submit a ticket, and ESM can process a correction.

I submitted a role enhancement/grade change, but it says it’s still in progress – how can I view the status?

Reviewing the Process tab is helpful as it will show you each step in the transaction, the status and those reviewer/final approvers. Refer to the Common Questions section of the tip sheet on Edit Position in JDX.

Keep in mind that the edit position restrictions transaction is approved by the Compensation Team, HR Partner, and Finance Executive. Each person must complete their step/approve. If you are trying to expedite the completion of a transaction, a best practice is to notify those involved so they can be sure to look out for the transaction in their MyTasks.

Can you tell me if I have access to this sup org?

On the PeopleSync homepage, click on the left side menu > Personal > My Dashboard:
  1. Click on the gear icon (upper right corner of the screen)
  2. Click on the “+” to add a new row.
  3. Type “Organizations I support” 
  4. Click Okay and then Done.
You will see a list of all the sup orgs that you have been assigned to.
