What is the Applicant record?
To be hired into PeopleSync all employees need a pre-hire or applicant record.
- This record contains basic information such as name and contact information.
- For Staff, Administrative/Professionals, and Full-Time Faculty the applicant record is automatically created in PeopleSync once the final candidate is selected in iCIMs or Interfolio. It includes the position name and number associated with the applicant.
- For other employee populations, the applicant record is created in the first step of the Hire transaction.
- All employees, therefore, have an applicant record in PeopleSync.
- When you search for a current/active employee, the Results page will display both the applicant and employee record:

- The applicant record remains in the system for terminated employees. The employee record is only visible to HR of the former school of employment, however the applicant record is visible to all schools and can be used for future rehiring:
