The purpose of this tip sheet is to provide you with a stronger understanding of how to view and edit passports and visas in PeopleSync. While generally found in the Edit IDs process for a comprehensive view, each of these elements may be modified as a standalone process using the Edit Passports and Visas process.
This process should not be initiated without supporting information from the employee. The initiator will receive a To-Do task to submit supporting documentation to records. Once supporting documentation for the legal name change is submitted, the initiator must submit the To Do in order to remove the task from their queue and complete the process.
The Manage Passport and Visa Information process can be initiated by the following roles in PeopleSync:
- HR Partner
- HR Analyst
- HR Advisor (ad hoc only)
You may initially enter this information during the Edit IDs step of the Hire.
Manage Passport and Visa Information
- Enter the name of the employee in the Search bar.
- Select the name of the employee from the search results. Make sure to select the Employee option.
- Use the Actions button on the employee’s profile page and select the Edit Passports and Visas task under the Personal Data menu.
- The Edit Passports and Visas For Worker page displays. Additions can be made by clicking the plus (+) icon.
- When the employee is on a work visa be sure to add the appropriate US Visa information.
- To edit or add a Passport for an employee, enter the following information:
- Country
- Passport ID Type
- Identification #
- Issued Date
- Expiration Date
- To edit or add a visa for an employee, enter the following information:
- Country
- Visa ID Type
- Identification #
- Issued Date
- Expiration Date
- Click Submit at the bottom of the Edit Passports and Visas For Worker page.
The initiator will receive a To-Do task to submit supporting documentation to records. Once supporting documentation for the legal name change is submitted, the initiator must submit the To Do in order to remove the task from their queue and complete the process.
