Edit Position: Title Change (Administrative/Professionals and Staff)

Overview

This tip sheet provides guidance on editing the official title of an existing Administrative/Professional or Staff employee. This transaction has a unique process involving an automated integration in PeopleSync:

  1. The HR Analyst or HR Partner initiates a Modify Incumbent – Title Change action to edit the Position Title and the Effective Date in JDX
  2. The Compensation Partner approves the transaction in JDX sending it to PeopleSync.
  3. The title updates in the position’s seat in PeopleSync.
  4. An integration automatically launches an Edit Position > Modify Incumbent > Title Change in the employee’s record, updating the Job Position Title.

Steps

  1. In JDXpert, search for the employee’s position.
    • A list of all job descriptions in your organization that can be edited will appear.
    • Use the column headers to sort the results or use the search function in your browser (Ctrl+F or Command+F) and then enter your search term, like a Position ID.
    • You may also use the Employee Search to identify the Peoplesync Position ID.
  2. On the Job Information tab:
    • Review and update the position title.
    • Select the availability date and earliest hire date.
  3. Submit the transaction to Compensation for Approval.
    • Select the Approve Step from the top menu.
    • If any information is missing, an error message will list the missing fields. Make sure all required fields are complete before submitting them.
    • Follow instructions in pop-up window to approve the step.
  4. Once approved by Compensation, JDX sends this transaction to PeopleSync.
  5. It launches an Edit Position Restrictions > Modify Incumbent > Title Change transaction and the title is updated on the seat.
  6. The Edit Position Restrictions then triggers an Edit Position > Modify Incumbent > Title Change in the employee record within 24 hours and updates the Job and Business Title fields.
  7. Once completed navigate to the employee record.
    • You will see the new title next to the employee’s name. 
    • On the Job > Job Details page the new title will reflect in the Position and Business Title fields.
    • When you select the position link on the Job Details page, the resulting page will show the title in the Job Title and Business Title fields.
    • If the effective date is in the future you will not see the change until that date.
