Creating a Visual Org Chart using PeopleSync data

Overview

This tipsheet will explain how to create a simple org chart using Google Sheets and a report from PeopleSync.  Having a visual representation of your supervisory organization hierarchy can be invaluable for understanding or demonstrating your hierarchy to others.

Steps

  1. Run the report Supervisory Organization – Org Chart Export 
    • Tip for searching: In the organization prompt, select the top-level supervisory organization of the hierarchy you wish to view – this can be any org within your hierarchy.  To search, type the Org ID/Code, manager name or supervisory organization name and press enter.  You can also exclude certain parts of your organization
  2. Export the report as an Excel file using the Excel icon in the top-right, and open the file.
  3. Copy this Google Sheets file (in the menu at the top, select File > Make a Copy).
  4. Replace the sample organization data with the data you exported from Excel. Reference the instructions found in the Google Sheet.
  5. Find your new org chart on the second sheet, resize the chart to fit, and use it however you need!  

Additional tips

You can resize the chart.  Click on the chart, and in the corners, you’ll see blue square anchors.  Click and drag an anchor to resize the chart to the desired shape.

You can customize the colors and font size. Double click on the chart. In the panel that opens to the right, click Customize at the top.

You can download the chart as an image. Click on the chart, and click on the icon in the top-right corner of the chart.  You’ll see a menu with an option Download Chart > PNG Image.

You can zoom in/out to read the chart more comfortably. On the menu bar at the top of the page, change the zoom from 100% to a more comfortable size.

You can create more from scratch!  The chart type used in this template is a default type provided in Google Sheets called Organization Chart.  Simply copy your PeopleSync data into a google sheet, select the data, insert a new chart, and change the chart type to Organization Chart.  

You can re-run for smaller groups.  If your org chart is too large or wide, consider creating multiple charts, or running the report for smaller groups.  You can exclude parts of your hierarchy by using the optional exclude prompt when running the PeopleSync report.

PeopleSync Fundamentals: Saved Favorites and Shortcuts

PeopleSync allows you to save your commonly visited pages, tasks, and reports for ease of navigation.  

When you open the menu in the top left corner, you will see a Shortcuts tab.  This will show you all of your saved Shortcuts and allow you to search for and add new ones.

At the bottom of the menu, you will also see Saved.  From here, you can view and manage your Shortcuts, as well as your Saved tasks, reports, and business objects.

To save a task, report, or business object from the page itself, click on the Save Icon: PeopleSync Save Icon

*Please note: saving a page to your Shortcuts or to your Saved tasks, reports, and business objects will not save any data or progress on the page, only the navigation to that page will be saved.

PeopleSync Fundamentals – Search for Applicant or Create New Applicant

On the first page of the Hire transaction you will see two options:

  • Search For Person OR
  • Create New Applicant

Using the left side “Search for Person” panel, search for applicant if:

  • A new hire was recruited through iCIMS or interfolio. If you are hiring into a Staff, Administrative/ Professional or Full-Time Faculty position select this option. Once the person is selected for hire/selected as “finalist” in iCIMS or interfolio, those systems send the applicant record to PeopleSync. Note the following:
    • Applicant records are sent hourly from iCIMS to PeopleSync; for interfolio this is daily.
    • An applicant record from iCIMS will display the position #. (For example: “Applicant for Position: 51234567 Program Coordinator”.)
  • A former NYU employee. When an employee terminates from the University, the applicant record remains in the system. You need to select this record for the hire transaction; do not create a new applicant record.
    • If the employee terminated from your school you will see “Worker Status: Terminated”.
    • If the employee terminated outside of your school, you will be able to find the record, but it will not be marked “Worker Status: Terminated”. Please contact PeopleLink if you need assistance selecting the correct record.
  • A former student. If you are hiring a former student of NYU, search for the applicant record. The student should have a terminated record, therefore search for the applicant record marked “Worker Status: Terminated”. (Note: sometimes this record is still active, so please contact PeopleLink in this scenario for assistance in terminating the record.)

Click on the Create New Applicant button (located on the bottom left of the page) if:

  • The new hire has never worked or was a student at NYU. If there is no former affiliation with the University as a regular employee or matriculated student it is likely that no record exists and you can create the applicant record.
  • The new hire was not recruited through iCIMS or interfolio.

Duplicate Records

A duplicate record is created when Create New Applicant is selected but the employee’s record already exists in the system (i.e. terminated employees and students). Once the hire transaction is completed, the employee now has two records in the system. Duplicates cause numerous access, onboarding and payroll issues. 

How will I know if I created a duplicate?

    • On the new hire record (the duplicate) you will see a W# that never updates to an N#. (This is because the N# already exists on the original record).
    • Most duplicates occur when hiring a former student employee into a regular position. Please review the tip sheet Hire Former Student Employee Into Regular Position or Job.

What do I do if I created a duplicate?

    • Contact PeopleLink as soon as possible. PeopleLink will have the duplicate record removed (rescinded).
    • You will then need to process the Hire transaction again, this time using the applicant record of the terminated employee.

Transactions & Functionality

Update to add additional job for PHD Students

If a graduate student is beyond 7 years in a PHD program and will work as an adjunct you must appoint using a regular adjunct job profile; this student is not eligible for STNT07 the graduate adjunct job profile.  

  • A new Beyond7Years flag (indicating yes or no), will now display on the Personal IDs tab of the student’s record in PeopleSync. 
  • When you initiate an Add Additional Job transaction, updated validation rules will check this flag in relation to the proposed job profile. 

new york city and california minimum wage increases effective jan 1, 2025

Upcoming increases in minimum wages may require you to review and submit compensation changes for hourly paid NY and CA-based employees and/or the CA-based exempt Professional Researchers. 

  • Effective Jan. 1, 2025, the hourly minimum wage in New York and California will increase to $16.50 per hour. (See post linked below for rate specific to LA-based employees).  
  • Effective Jan 1, 2025, the California state minimum wage for exempt employees will increase to$68,640/year, or $1,320/week.  
  • Required actions – Review audit reports to identify those employees who may need to be brought to these minimums and submit compensation changes as needed.  
  • Note: No action is required for student jobs for those schools and units which participate in Shared Services. 
  • No action is required for exempt Admin/Professionals – as per NYU policies all employees in this category already meet this new minimum wage.

FY25 Local 153 Salary Grade Minimums and Notice Regarding PeopleSync Transactions for December 19-20, 2024 

New minimum and standard hourly rates effective Jan 1, 2025 for Local 153 job profiles are available in the Local 153 Salary Grade Minimums report in PeopleSync. Additionally, please refrain from submitting transactions involving a comp change step for this population between 12/19 and 12/20 while the BUI is being completed. Refer to the HRO Community post. 

Default Compensation Field Updated to Reflect Incumbent Salaries for Faculty, Administrators, and Staff 

Default compensation on the position restriction (aka seat) of FT Faculty, Administrative/Professionals and Staff has been updated effective 11/15/2024. Refer to the post on the HRO Community blog for more details. (Note: This excludes unfilled positions.) Refer to the Request Default Compensation Change tip sheet for a description of default compensation.

Review Scheduled Reports for Next Year 

Now is a great time for those of you who have scheduled reports to review those reports, renew them or delete any that are no longer needed. We updated the Reports in PeopleSync tip sheets – see section ,”Schedule a Report”.

Ticket Spotlight

A new employee in HR will submit student jobs and review timesheets in PeopleSync what role is needed? 

Security Partners should assign the HR Analyst or the HR Partner role to the New York University Student Pool (NYUStudent) sup org and any student sup orgs in your schools or unit if they will support student workers or enter transactions for students.  Review our PeopleSync Organization Support Role tip sheet for a description of each – Analyst is typically the initiator of the student job and Partner approves the job. Tip: The Time and Absence role is not needed if you have assigned the HR Analyst role as the latter also includes timesheet/absence request review and approval capabilities. Additionally, remember the Student Pool sup org holds the pool job only – other roles such as Time and Absence, Costing Allocation Partner etc are not needed for this sup org as no paid job exists in this org. 

 
 

Staffing Transactions for Global Sites

This tip sheet explains how to submit the following transactions in PeopleSync for an employee working at a Global site. (Note: This tip sheet does not apply to International Assignments (IA). For questions contact, PeopleLink.). These transactions use both supervisory organizations and job profiles beginning in “GL” only.

Roles and Approval Chain

  • The Hire, Edit Position, and Terminate transaction are submitted by the HR Analyst or Partner and routes to the HR Partner for review and approval. 
  • The Change Contact Information transaction is submitted by the HR Analyst or Partner and does not require approval.

Hire Employee

Before initiating the transaction complete the following steps:

  1. Check PeopleSync to see if the employee already exists in the system.
  • Enter the N# or NetID in the Search field. Enter.
  • Click on the search category All of Workday on the left side menu.

2. Make sure the employee has an N# and NetID assigned.

  • Refer to the NYU Netid page if you need to request that an N# or netid is created.

INITIATE HIRE AND APPLICANT RECORD 

  1. Enter supervisory organization (sup org) in the Search bar. Note: All Global site sup orgs begin with “GL”. You can type in the name of the sup org or the code.
  2. Click enter. Select the sup org.
  3. At the top of the page and at the end of the sup org name, click on the actions ellipse bar. This is the bar with three dots. Click on Actions ellipse > Hire > Hire Employee.
  4. You can Search for the Applicant using the panel on the left side of the screen OR Click on Create New Applicant button (located on the bottom left-side of the screen).
  5. Review the next two options:
    • If you searched for the applicant, select the applicant from the results on the right side of the screen.
      • Then click on the Start button (located on the bottom left side of the screen.)
      • On this next page the applicant and sup org will display.  
    • If you clicked on Create New Applicant, on the next page:
      • Enter the First Name and Last Name.
      • Click the Contact Information tab. One form of contact information is required. 
      • It is recommended that you enter in the Work email. Click Add in this section. Enter in the email address. Use the format netid@nyu.edu. Select Work in the Type field.  (Note: this is an important step as the netid will be used to verify the record in PeopleSync, see the Post Hire section below). Click OK.
      • On this next page the applicant and sup org will display.  
  6. Click OK.

JOB DETAILS

  1. Enter the Hire Date or click the calendar icon to select a date.
  2. In the Reason field, click on the menu icon. Select Hire Employee to view a list of reasons. 
    • For a new hire, select Hire Employee > New Hire
    • If the employee formerly worked at NYU and is currently terminated, select Hire > Rehire. (If you selected Existing Applicant you will typically select Rehire).
  3. In the Employee Type field, enter in Regular or Fixed Term
    • Regular has no end date. 
    • If Fixed Term, you will need to enter an End Employment Date
  4. In the Location field, enter in the Global site. For example: London, Paris, Florence etc.
  5. In the Workspace field type in the city name. For example: London, Paris, Florence etc. This will default to Global site > Global site workspace. For example: London > London workspace. (Do not use the “NA” version, e.g. London > NA)
  6. Enter in a Job Profile beginning with “GL”.
    • Note there are specific job profiles for sites. You can run the “NYU Job Profiles” report to get a list of all profiles in the system.
  7. The Job and Business Title prepopulate to match the name of job profile. Note: We recommend that you change these fields to the employee titleExample: Edit “GL0010 – Florence Lay Schools Administrative Staff (Florence)” to “Coordinator, Programs and Services”
  8. You can leave the Pay Rate field blank.
  9. Time Type field enter Part-Time or Full-Time.
    • Scheduled Weekly Hours and Default Hours. Review or enter in the # of hours. Scheduled Hours is the number of hours of hours that the employee works per week. Default Hours is the FT # of hours for the position.
    • FTE%. Once hours are entered in the field above the FTE% is calculated – this is scheduled hours divided by default hours. For example for a FT employee the FTE% should be 100%. 
  10. Complete the comment field if needed.
  11. Do not attach a document.
  12. Click Submit.
    • You may see this alert: “The Job Profile, Business and Job Titles all match. If this is not correct please update the Business Title before submitting.” If needed edit the titles. If not, select Submit.

You will now see a pop up which says: “You have submitted. Up Next: Personal Information“. Click Open.

CHANGE PERSONAL INFORMATION 

(*This page is prepopulated if you selected Existing Applicant in step 1.)

  1. On this page complete or review* the following fields. Click the pencil icon to edit and the check mark icon to save. Modify the following fields:
    • Gender
    • Date of Birth. Important: Make sure to complete the Date of Birth field. This field is used to verify the employee’s record in SailPoint. The format is: MM/DD/YYYY
  2. Click Submit.

You will now see a pop up which says: “Success! Event Submitted. Up Next: Edit IDs“. Click Open.

EDIT IDS

(This page is prepopulated if you selected the Existing Applicant in step 1.)

  1. Next you will view the Edit IDs Note this page is currently not used by Global employees.
  2. Click on the Approve button.

You will now see a pop up which says: “Success! Event Approved Up Next: HR Partner, Consolidated Approval by HR.

The transaction routes to the HR Partner for review and approval. If you are an approver, refer to How to Approve a Transaction tip sheet.

Post hire review of employee record

  1. Once the hire transaction is approved you can view the completed record. 
  2. Search for the employee and select the record.
  3. On the right side screen, under Job Details, review Employee ID.
    • You will see a W# until the record is updated with the N#.
      • How the N# is updated. Central HR will verify that the employee has a record in Registry and will update the N#. To verify the record in SailPoint they will use the name, netid (from the work email address) and Date of Birth so please make sure these are correct. 
      • The employee will not be able to log into PeopleSync until the N# appears. If the N# does not appear, contact PeopleLink.
  1. You can click on the Job and Personal links on the left side menu to review details about the job.
    • Click on Job on the left side menu.
    • Under Job Details, click on the link next to Job. 
      • Example: Job     5123456 Admissions Coordinator
      • Check the Job Profile, Title, Scheduled Hours and any other information such as End Employment Date (if Fixed Term).

Change Contact Information (Work)

  1. Navigate to the employee record.
  2. Click the Actions ellipse > Personal Data > Change Contact Information
  3. Scroll down to view the Work Contact Information
    • Primary Phone and Primary Email.
      • Click Add button to enter in this information 
      • If phone or email address already exists and you need to edit, click on the pencil icon to modify, Click on the check mark icon to save.
      • Primary work email is in the format netid@nyu.edu.
    • Primary Work Address.
      • See Hire section above, step 8. This address is based on the address assigned to the workspace.
  1. Click Submit

The Change Contact Information transaction is submitted by the HR Analyst or Partner and does not require approval.


Edit Job

  1. Navigate to the employee record.
  2. Unlike many transactions that are initiated from the Action ellipse located next to the employee’s name, Edit Position/Job is initiated off of the position or job.
  3. Navigate to the Employee record and select the Job tab.
  4. Under Job Details, you will see the Position or Job. Hover your mouse over link to display the related actions bar.
  5. Click Job > Edit Job.
  6. Enter in an Effective Date or click on the calendar icon and select a date.
  7. In the Reason field enter the reason or click the menu icon and select Modify Incumbent select one of the following:
    • Title Change
    • Work Hours Change
    • Extend Fixed Term Job
    • Work space Update
    • Academic Profle Change
  8. Make changes to applicable fields.
    • For example, if you are making a Time Type change, select reason Work Hours Change and modify the Time Type field and Scheduled Hours if needed. (Do NOT modify the Default Scheduled Work Hours). The system generates FTE% by dividing the Scheduled Weekly Hours by the Default Weekly Hours. For example, if you enter in 15 hours in the Scheduled Work Hours field and the Default Scheduled Weekly Hours is 35, the FTE is 15/35 or 43%.
    • If you are making a Title Change,  select the reason Title Change and edit the Job Profile and/or Title fields. Note: if changing the job profile, it must begin in “GL“.
    • If you are making a change to an Academic Job Profile select this reason and edit the Job Profle. Select a profile beginning in “GL
    • To extend a job, select reason Extend Fixed Term Job and modify the End Employment Date field. Note: You can only modify the end date if the employee type is Fixed Term, not regular.
      • To find the End Employment Date field, click the arrow next to Additional Data to display this field.
    • Note if reason: Work Space Update is selected, this transaction will not route for approval.
  9. Complete the comment field if needed. Tip: You may want to note which fields were updated for the approver.
  10. The transaction will route to the HR Partner for review/approval, with the exception of reason: work space.
  11. Once approved the changes will appear in the employee record.

Terminate

  1. Navigate to the employee record.
  2. Click the Actions ellipse > Job Change > Terminate Employee
  3. Complete the Primary Reason. Select one of the following: Note that for Global employees, two reasons have been used:
    • Fixed Term Contract End – Resignation OR
    • Unknown / General
  4. Enter the Termination Date.
    • Date that the Termination is effective, as of midnight; termination is not visible to Employee until this date. Terminations can be future dated in PeopleSync.
    • The Last Date of Work, Pay Through Date, and Notify By date will default to the Termination Date. 
    • Click Submit.
  5. The transaction routes to the HR Partner for review. 

The transaction routes to the HR Partner for review and approval. If you are an approver, refer to How to Approve a Transaction tip sheet.

To run a report of employees in each sup org, type in “Employee Summary Report By Supervisory Organization” in the search field.
