Annual Work and Disbursement Period Fields

This tip sheet will help you complete the Annual Work Period and Disbursement Plan Period fields. These fields apply to Full Time Faculty positions in WSQ. There are reduced-month Administrative/ Professional positions which also use these fields. These positions require approval from both the head of the Unit as well as Compensation. These fields appear in the Hire, Add Job, or Edit Position transactions. Full Time (FT) Faculty member’s work period may differ from the period when paid. This is typical for most FT Faculty at NYU. The Annual Work Period refers to when the work is performed. The Disbursement Period refers to when the employee is paid.

These two fields must align correctly with the following additional fields:

  • Start Date and End Date
  • Compensation Type
  • Compensation Plan

The above chart applies to FT regular Faculty. The salary reflects a 9 month appointment period starting on Sept 1. This salary is paid out over 12 months. For regular employees, there is no end date on the position. For fixed-term employees, the end date is at least until 8/31 of that year (a full academic year or more). The Annual Work Period is FT Faculty – 9/12 (September 1 – August 31) and the Disbursement Period is 12 Month Disbursement (September 1 – August 31). The Comp Type is Academic/Deferred Pay (9/12, 10/12, 11/12) and Compensation Plan is NYU Salary (Academic Pay).

The total appointment period is less than 1 year.

The above chart refers to FT Faculty on appointments less than a year. An example of this is a Visiting Professor. For example, a Visiting Faculty appointed for less than the full academic year, 12/12 will pay equal payments over the appointment period. The Annual Work Period is FT Faculty – 12/12 (September 1 – August 31) and the Disbursement Period is FT Faculty – 12/12 (September 1 – August 31). The Comp Type is Academic/Deferred Pay (9/12, 10/12, 11/12) and Compensation Plan is NYU Salary (Academic Pay).

Common Questions

How do I enter in the annual work/disbursement fields for FT Faculty member who will be paid 9/12 but start date is before 9/1?

If a FT Faculty member will be paid on the 9/12 plan (the salary is distributed over 12 months) but the start date is before 9/1 (e.g. 8/1), be sure to process as follows.

  1. In the initial Hire transaction, annual work period of FT –Faculty 12/12 (9/1 –8/31) and a disbursement period of FT –Faculty –12/12 (9/1 to 8/31).
  2. Next, process anEdit Position > Academic Pay Change, effective 9/1 and change the annual work period to FT-Faculty 9/12 (9/1 –8/31). The disbursement field can stay the same.
