The Museum of Modern Art is currently accepting applications for a Development Assistant who will support the Trustee Giving and Campaign Operations team and perform a variety of essential administrative functions.
Responsibilities:
-Utilizes and updates a system for tracking gifts from trustees and committee members, as well as campaign and endowment contributions and pledge payments.
-Maintains donor management tracking resources using project management, customer relations tools and Excel.
-Drafts acknowledgments and ensures that all gifts are acknowledged in a timely fashion by the appropriate person(s) and that they receive tax acknowledgement letters.
-Processes all gifts for the trustee giving and campaign operations team; fills in all forms (gift transmittals) and makes copies of all relevant documents (checks, letters, etc.) required by Gift Processing in order to post.
-Updates gift tracking documents, performs regular review and reconciliation with donor databases ensuring accuracy of data.
-In conjunction with Associate Director and Development Officer, contributes to the development of CRM-based tracking systems and reports to enhance team efficiency.
-Coordinates the creation and dissemination of committee dues reminders and trustee annual fund appeals.
-Assists with the preparation and dissemination of proposals, gift renewals, correspondence, and committee related projects as required.
-Utilizes Salesforce and other tracking documents to maintain pertinent donor and recognition information as required.
-Assists with coordination and execution of annual and long-term recognition projects.
-Maintains department expenses, processes invoices. Maintains related files and budgets.
-Maintains donor and program records; responds to requests for information and files from other departments and person(s).
-Corresponds, verbally and in writing, with donors and trustee offices as required.
-Responds to requests, calls, and emails in a timely manner.
-Assists with major gifts and other donor events as needed.
-Performs other administrative and miscellaneous office duties as necessary.
-Performs any other duties reasonably related to the functions described above.
Requirements:
-Bachelor’s degree and two plus years relevant experience in a development office or equivalent.
-Business/analytical background preferred, e.g., some knowledge of data and financial analysis, process improvement, etc.
-Experience managing budgets and financial information.
-Strong computing skills and proficiency with Microsoft Office Suite, Google Suite, and -Salesforce or other CRM.
-Highly detail-oriented with superior writing and proofreading skills.
-Strong interpersonal and communication skills and comfort speaking with donors via telephone.
-Works well independently and as part of a team.
-Interest in modern and contemporary art is a plus.
