The United States Holocaust Memorial Museum is a federally chartered, nonpartisan institution that was created by the US Congress to serve as America’s national memorial to the victims of the Holocaust and an educational institution dedicated to the history and lessons of the Holocaust. Information about the role
This position is located in the Programs on Ethics, Religion, and the Holocaust (PERH) branch of the Division of Academic Programs Division at the Jack, Joseph and Morton Mandel Center for Advanced Holocaust Studies of the United States Holocaust Memorial Museum (USHMM). The mission of the Mandel Center is to strengthen and help shape the field of Holocaust Studies through activities and programs that stimulate new research and teaching on Holocaust-related topics; encourage networking and cooperative endeavors among Holocaust scholars; and ensure the training of future Holocaust scholars.

The incumbent will aid in the maintenance and expansion of the Mandel Center’s Programs on Ethics, Religion, and the Holocaust, which promotes engagement on the intersections of religion and the Holocaust for a wide range of academic and religious audiences. Our programs include research workshops, faculty seminars, workshops for congregational leaders, an interfaith group program, and group visits to the Museum. We also create and promote teaching resources related to religion and the Holocaust. PERH is advised by the Committee on Ethics, Religion, and the Holocaust of the United States Holocaust Memorial Council. The incumbent will assist the branch by ensuring the smooth operations of these programs and evaluating the branch’s progress against its goals.

This position is eligible for limited hybrid telework, within the local commuting area of the Museum worksite and is a full-time donated position (non-Federal) paid with the Museum’s private funds. Salary is commensurate with experience.

Major Duties, and Responsibilities

  • Provide logistical support, coordination, and administrative management for all PERH activities (onsite, offsite, and virtual) including, but not limited to: the creation of marketing collateral such as print brochures and outreach emails; preparing and assembling materials such as invitations, conference packets, and other correspondence; arranging virtual meetings, room bookings, catering; and arranging travel reimbursement for program participants.
  • Coordinates the approval process for statements of work, contracts, and memoranda of understanding (MOUs).
  • Communicates and tracks progress on milestone timelines for PERH projects.
  • Monitors and tracks expenditures and investigates and resolves discrepancies.
  • Researches and responds to a variety of inquiries from program participants and contractors such as interpretation of travel regulations, status of projects, meeting dates and dates for matters requiring compliance.
  • Collects and compiles data for the preparation of reports of activities including budget items, travel, equipment, and related expenses.
  • Researches program requirements to determine total cost of activities to include lodging, per diem, travel, honorariums, supplies, equipment, and related expenditures.
  • Gathers, organizes, and provides access to data and Key Performance Indicators (KPIs) for department, office, and Museum reports.
  • Analyzes, evaluates, and recommends changes to daily operations and internal procedures.
  • Serves on Mandel committees to increase efficiency and effectiveness of operations and help implement the Mandel strategic plan.
  • Compiles and provides data validation and reconciliation to the PERH team and Mandel Center leadership.
  • Develops and maintains a variety of databases and information systems that provide timely and relevant information to management.
  • Performs other duties as assigned.

Minimum Qualifications for the role

  • Three-plus years of administrative experience.
  • Demonstrated ability to plan and execute complex and overlapping projects independently.
  • Some experience organizing events and programs.
  • Excellent verbal and written communications skills.
  • Ability to work both independently and as part of a team and adapt to changing priorities.
  • Advanced knowledge of spreadsheets, databases, and other systems.
  • Experience preparing data, graphs, and charts for reports.
  • Experience with video-conferencing platforms.

Preferred Qualifications for the role

  • Bachelor’s degree.
  • Experience working with colleges, universities, seminaries, or other academic or religious institutions.
  • Knowledge of Holocaust-related subject matter.
  • Understanding of the religious landscape of North America, including interreligious relations.
  • Understanding of the Mandel Center’s strategic plan, success measures, tracking, and reporting.
  • Knowledge of the Museum and Mandel office activities, programs, policies, mission, and objectives.
  • Familiarity with survey and project management tools such as Airtable, Survey Monkey, Monday, Trello, and CRMs.
