Description
The Grolier Club seeks an Event Manager and Program Coordinator for member and public programming. Reporting directly to the Executive Director and working in close collaboration with our Operations Manager, House Manager, and Administrative Assistant, the Event Manager and Program Coordinator will oversee all events-related logistics for the Club. The successful candidate will be an excellent verbal and written communicator, adept at managing projects on short-term and long-term timelines, highly collaborative, and receptive to delegation.

Responsibilities
Program Coordination

  • Serve as point person on the Club Calendar, overseeing and posting all staff and member calendar entries on applicable platforms in a timely manner, and regularly consulting with staff members and Club member liaisons
  • Investigate and suggest methods for streamlining calendar- and event-related staff communication
  • Ensure and coordinate timely event notifications and descriptions in digital communications to members and the public (Eventbrite and newsletters)
  • Edit, upload, and enable public and/or members-only access to videos across various platforms
  • Prepare and run weekly program coordination and event management meetings to inform staff of upcoming calendar and associated logistics

Events Management

  • Serve as point person to track catering and logistics needs for all Grolier events, troubleshooting as needed
  • In consultation with appropriate department manager or Council Chair: coordinate, supervise, and book all room use, catering, and logistics (including transportation, hotel, etc.) for events associated with Exhibitions, Special Functions, Other Programming, In-House Council and Committee Meetings, and member-related gatherings
  • Communicate needs for setup and breakdown of room facilities (e.g. numbers and positioning of chairs; food and bar requirements; A/V requirements and setup, etc.)
  • Coordinate room rentals, catering, and logistics for all rentals

Qualifications

  • 3+ years’ experience in event management and program coordination
  • Exemplary verbal and written communication skills with prompt and efficient responses
  • Highly organized
  • Highly collaborative and adept at managing multiple projects at once
  • Proficiency with Microsoft Office (Word, Excel, Forms), Eventbrite, and Zoom
  • Experience with Vimeo, YouTube, and Canva is a plus
  • Experience coordinating volunteer programs or conducting education-based outreach is a plus

The role is part-time at $35/hour for 24 hours per week. Hourly rate is negotiable depending on successful candidate’s experience. Position will require occasional evening work.
