Basic Function
The Assistant Director, Annual Giving will work within the Annual Giving team to steward members, including Luminary, the museum’s premier donor society of 1,000+ donors providing annual unrestricted gifts of $3,000+.
Working in conjunction with the Director, Annual Giving, the Assistant Director, Annual Giving will provide assistance in acquisition and solicitation activities to enhance Luminary membership. Additionally this position will manage the Manager, Annual Giving to cultivate and retain donors through active participation and tailored stewardship for the Woman’s Board and other premium membership levels as appropriate. In collaboration with teams across Engagement, this position oversees measurable goals and objectives, as prioritized by Engagement Revenue, to produce communications, programs, and materials to support Luminary to raise $8M+ annually in funding.
Primary Duties And Responsibilities
Under the guidance of the Director, the Assistant Director supports the objectives of the museum’s Luminary programs, campaigns and special events; They manage the Manager, Annual Giving in their coordination of Annual Giving efforts and stewards their handling of the Woman’s Board in volunteer leadership, programming, and communications.
- Responsively manage Luminary members (majority giving between $3,000-$12,000) actively stewarding and soliciting individuals appropriately each year. Serve as a strong model to peers of member stewardship.
- Directly solicit prospects and provide campaign support to grow the member body. Ensure timely coordination of cultivation and stewardship reports. Work closely with the Director, Annual Giving to assist in implementing solicitation and acquisition strategies to achieve increased revenue goals.
- Participate in regular meetings with Engagement Revenue and Research teams to identify and track prospects,
- Works in collaboration with teams across Engagement Revenue for membership appeals, marketing materials, event communications, and auxiliary leadership messages.
- Works closely with staff including the offices of Institutional Giving, Philanthropy, Engagement Programs and Special Events to ensure integration and coordination of Luminary programming with other institutional efforts.
- Reports on program, campaign, and stewardship success based on goals and metrics as prioritized by Engagement Revenue and in collaboration with Engagement Programs and Special Events teams.
- Assist the Director, Annual Giving to plan two-three domestic and one two international trips each year for Luminary. Assist in preparation of correspondence and collateral materials to support each trip, including reports, hospitality gifts, museum brochures and guides, etc. Provide development support during donor travel as necessary.
- Supports the Manager Annual Giving in the management of the Woman’s Board, their fundraising events and other programming.
- Collaborates cross-departmentally as needed to ensure continuity of member experience in all museum exchanges.
- Maintain and publish an editorial calendar of communications-related activities across Luminary for the year ahead, including publications, project and organizational milestones and events.
- Review and edit written content produced by Communications Team, program teams and leadership for accuracy, writing quality, and organizational messaging. Adheres to the museum’s editorial and design style guides, ensures consistency in messaging and brand standards, works with internal staff to draft and finalize print and digital communications. Circulates content for team and executive review.
- Build and maintain relationships with curatorial staff, Prospect Development and
- Information Strategy, Institutional Relations, Special Events, Marketing and Public Relations, Volunteers and Visitor Services, Security, etc.
- Represents the Art Institute as appropriate at external events, meetings and to the public at large
Other
- Processes all income, receipts, and acknowledgements. Pays and reconciles all expenses in a timely manner.
- Participates in team meetings, regular check-ins with supervisor(s), and represents the Leadership Giving and Special Event in intra-departmental meetings or committees.
- Collaborates in the production of departmental documentation, training, and creation of shared resources.
- Supports production of peers events and programs; makes requests to peers for support of events as needed.
- Develops competitive understanding of other similar leadership giving programs in Chicago, nationally, and internationally.
- Performs other duties and special projects as required.
Qualifications
- Bachelor’s degree or equivalent education
- Direct experience in a museum preferred
- Minimum 4-6 year track record of progressively responsible experience in development, membership, marketing, events, or an analogous field
- Adept and persuasive communication skills, including the ability to establish and sustain
- Must have experience in stewardship and relationship cultivation of mid–to-high capacity donors, high-level volunteers and external constituencies.
- Must have experience producing high-end, large-scale events and special VIP experiences.
- Excellent writing, oral, and interpersonal skills.
- Ability to work on multiple projects simultaneously, meet short deadlines, and work occasional evenings and weekends as required.
- Proficiency in Word, Excel, InDesign (or similar system), Raisers Edge (or similar system) and demonstrated ability to learn new computer software.
