The Museum of Modern Art is currently accepting applications for an essential member of the External Affairs team, the Groups and Tours Coordinator plays a key role in ensuring smooth operations for the Groups and Tours department. By engaging audiences through customized tours, the Coordinator builds relationships with staff, visitors, members, and donors at every level. Possessing the ability to plan all elements of group visits, in addition to being able to lead tours, the Groups and Tours Coordinator plays an essential role in department operations. From initial contact through the visit’s conclusion and beyond, the Groups and Tours Coordinator fosters a positive relationship with the Museum.

Responsibilities:

  • Leads guided tours of the Museum’s collection and special exhibitions to visitors of all abilities and levels of familiarity with modern and contemporary art.
  • Warmly welcomes groups at various locations, greets and serves as liaison with group leaders, and ensures all details regarding visits are handled efficiently.
  •  Acts as host for Virtual Tours and Talks. Communicates with clients and staff throughout technical rehearsal and live program. 
  • Assists in training new Groups and Tours staff members in departmental tasks, including all aspects of the group visit from initial contact through the Museum visit, departure, and follow up.
  • Answers Groups and Tours telephone lines and e-mail inbox for reservations, general information, and confirmations. Follows up accordingly.
  • Ensures smooth daily operations supporting every aspect of the Groups and Tours department.
  • Works proactively with various Museum departments to plan and implement programs.
  • Assists in scheduling guides, and occasionally assists with screening and interviewing guides and scheduling their payments.
  • Issues requests for Security Officers and operational needs for all groups when applicable, and follows up with various departments regarding special arrangements.
  •  Inputs information and reservations utilizing Groups and Tours computer software. Runs reports as needed. Uses Salesforce for client relationship management.
  • Efficiently follows through with group leaders regarding payment information, refunds, late payments, and other related issues. Performs any other duties reasonably related to the functions described above.

Requirements: 

  • Bachelor’s degree and at least two years of client service experience. 
  • Excellent public speaking skills
  • Excellent crowd management skills
  • Expertise in the history of modern and contemporary art 
  • Exceptional verbal and written communication skills, professional polish, and attention to detail.
  • Ability to work independently, manage multiple tasks, and balance priorities.
  • Positive attitude, sense of humor, and excellent collaboration skills.
  • Demonstrated enthusiastic and empathetic disposition
  • Facility with a language(s), in addition to English, is preferred.

Reports to: Assistant Director, Groups and Tours

Salary: The salary for this position is $53,080 per annum.
