The American Academy of Arts and Letters is an honor society of the country’s 300 leading architects, artists, composers, and writers with headquarters located in three landmark buildings in the Washington Heights neighborhood of New York City. Each year Arts and Letters elects new members as vacancies occur, confers over 70 awards and prizes that total more than $1 million, gives emergency grants to artists in financial distress, funds performances of new musical theater works, purchases artwork for donation to museums across the United States, and presents concerts, talks, and exhibitions.

Arts and Letters is looking for a part-time assistant to assist with office administration, reception duties, and event planning in advance of our annual award ceremony in May. Ideal candidates are those with administrative experience who are looking for a part-time job to supplement their income or fund an artistic practice. They will work directly with the executive assistant. The bulk of this work will be in person, although some remote projects may be available. Business hours are Monday to Friday, 9:30 a.m. to 5:00 p.m.

 

Administrative duties include:

-Answer office telephones, receive visitors, field inquiries from the public, and provide hospitality help for meetings and small events.

-Gather and update member information.

-Help send out various mailings.

-Proofread various publications.

-Help with events as needed, including invitations, travel arrangements, and check-in for concerts, dinners, exhibitions, and the annual awards ceremony.

-Maintain office files including printed matter, meeting minutes, and election, event, and member papers.

-Order, organize, and store office supplies and food.

-Other general administrative tasks as needed.

 

Qualifications

Candidates should be personable and detail-oriented with strong communication skills and an interest in the arts. Previous experience working in an office and with Microsoft Office Suite and Google Workspace is a must. Event production experience is a plus. Arts and Letters is run by a small staff and the administrative assistant must be willing to jump in and perform duties as needed. Availability to work the evening of April 10 is highly preferred; candidates must be available to work the entire day of May 22.
