GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

Reporting to the Administrator, the Associate for Administration will provide critical support to the Security Team. They are responsible for ensuring the seamless and efficient operation of the Security and Badging office and is the primary point of contact for any projects related to buildings, construction, resource management, inventory control, and budget planning. The Associate for Administration will develop key relationships with colleagues in Procurement, Recruitment, Technology, Buildings, Engineering, Capital Projects, Special Events, Special Exhibitions, Visitor Experience, and others to consistently advocate for departmental needs and priorities. Any duties as assigned by the Administrator.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Monitor and triage emails, provide calendar management, draft letters and correspondence – all while maintaining strict confidentiality.
  • Collaborate with staff in other departments to fulfill visitor needs in Museum-wide projects, acting as the liaison between The Security Department, other departments, and 3rd party vendors.
  • Initiate JIRA work orders for internal projects and maintenance tasks.
  • Support Security Managers by coordinating with Technology/HelpDesk requests.
  • Responsible for reviewing and updating existing Met Security department policies and guidelines to ensure they are up to date.
  • Maintain office contact list, schedule appointments, receive office visitors, answer phones, respond to emails, draft correspondence, manage deliveries.
  • Act as Procurement Ambassador, the designated transacting user and liaison between Procurement/Finance and The Security Department.
  • Process purchase requisitions, monitor the issuance of Purchase Orders, and ensure prompt invoice payment.
  • Support the uniform procurement Assist uniform technicians in the procurement of uniforms and security equipment.
  • Support departmental staff with travel arrangements, expense reports/reimbursement requests, supply ordering, and various expense reconciliation activities.
  • Organize and arrange suit fitting sessions for supervisors.
  • Assist the badging office and provide backup support as required
  • Support Security Department Special Projects and Initiatives as needed – create and maintain Security Department intranet sites related to meeting planning, available tools, policies, and procedures.

REQUIREMENTS & QUALIFICATIONS:

  • College degree required or equivalent work experience
  • Strong customer service and communication; call center/phone experience preferred
  • Strong documentation, investigative, and report writing skills
  • Familiar with administrative processes and procedures
  • Demonstrated proficiency in Microsoft Suite and exposure to Security Software, a must
  • Experience with Workday, Jira and SharePoint is a plus
  • Exemplary attendance and punctuality
  • Comfortable with ambiguity and working with large amounts of data and information
  • Ability to solve problems
  • Good judgment, clear decision-making, appropriate initiative and professional conduct
  • Ability to perform and demonstrate self-control under difficult circumstances
  • Excellent communication skills, both written and verbal, required

COMPENSATION RANGE:

  • Pay Range : $70,000 – $75,000 /Annually
  • The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The advertised pay scale is not a promise of a particular wage for any specific employee. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.

Location Requirements

At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
