GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

You will carry out a variety of responsibilities associated with the cultivation and stewardship of the Museum’s Trustees, high-level individual donors and prospects, and other individual donors and prospects. You will help execute the Campaign and Stewardship team’s work related to the administration of gifts. You will provide administrative support for the Chief Development Officer for Individual Giving and other senior staff.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Draft acknowledgment letters and other correspondence related to gifts to support art acquisitions, gifts made in honor or in memory of others, capital gifts, and other gifts as needed, as well as other written communications, as needed, for Trustees, high-level individual donors and prospects, and other individual donors and prospects.
  • Assist with the preparation and finalization of gift agreements, funding proposals, and stewardship reports as needed.
  • Oversee pledge payment tracking for individual donors and coordinate the drafting and sending of payment reminders across individual giving teams within the Development Office.
  • Provide administrative support for semiannual and annual large-scale mailings and donor recognition efforts.
  • Provide administrative and logistical support as needed for Trustee meetings, project-specific fundraising task forces, Major Gifts Committee meetings, and related meetings.
  • Assist with logistics and follow-up for cultivation initiatives led by Trustees and members of the Major Gifts Committee.
  • Oversee donor and prospect stewardship for the Chief Development Officer and draft correspondence related to the same, including pledge payment reminders, exhibition opening and closing letters, and other written communications as needed.
  • Provide administrative support, including overseeing calendaring, travel arrangements, expense reports, and donor stewardship tracking, for the Chief Development Officer for Individual Giving, and provide administrative support for other senior staff as needed.
  • Interface, as required, with members of the Museum’s curatorial and administrative departments.
  • Maintain and update donor database records.
  • Available to work day and evening events.
  • Other related duties.

EDUCATION & EXPERIENCE:

  • BA degree in Art History, Art Administration, or English degree
  • Experience or exposure in development or a related field, ideally in a non-profit context
  • Writing, editing, and communication skills.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.
  • Ability to work well with others, as well as independently.
  • Attention to detail and strong organizational skills.
  • Computer skills and experience with Microsoft Office.
  • Interest in the arts and a commitment to the Museum’s mission.

COMPENSATION RATE:

  • Pay Rate : $29.68 / Hourly
  • The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The advertised pay scale is not a promise of a particular wage for any specific employee. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.

Location Requirements

At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
