Job Title: Development Assistant

Position Summary
The Development Assistant is responsible for all gift processing and data entry of contributions and memberships; data entry and record keeping; supports the general administration of the Development Department by maintaining office supplies and preparing purchase requests, and provides assistance to the Membership team by responding to member inquiries via email and member phone line.
Typical Duties & Responsibilities
Gift Processing + Acknowledgement
- Add, edit or update all donor information received through mail correspondence, MAM website, email, or membership phone line, including address, phone, and email information into donor software, paying close attention to details to ensure data integrity.
- Responsible for each component of processing contribution and membership information into the Raiser’s Edge database in batches from all sources. This includes opening and sorting the mail, data entry, check deposits and credit card processing and reconciliation with Financial software, always ensuring accuracy before posting batches.
- Follow up on declined credit cards and process refunds and gift adjustments with online credit card processors and/or issue check requests, ensuring continued accuracy in the Raiser’s Edge database and reconciliation with Finance Edge software, while following MAM protocols.
General Department Support + Data Integrity
- Manage the donor filing system, including archiving and/or creating new files for donors as needed. This may include recruiting and working with a volunteer to assist with this task.
- Assist with membership phone line and monitor membership email inbox, following up with members and/or forwarding messages to the appropriate staff member for resolution.
- Assist with the preparation and sending of donor acknowledgement letters and replacement membership cards.
- Work cross-departmentally to ensure data entry and integrity; assist with pulling reports and lists; trouble shoot issues; enters constituent information and RSVPs into RE; and work with the Director of Development Info & Systems to develop solutions to challenges in the process.
- Prepare all check and purchase requests for department.
- Maintain and order department office supplies, stationary, and collateral material inventory, and serves as the contact person for department equipment functionality.
- Work with MAM and Gaslight staff to ensure Gaslight 16th floor office repairs and maintenance needs are addressed.
- Assist with other duties as assigned.
Requirements
Required Skills & Education:
- Some college or office experience, preferable in a Development office.
- Database and data entry experience required, preferably with Raiser ‘s Edge software.
- Confidentiality, accuracy, and impeccable professional practice
Preferred Abilities
- Self motivated and well-organized
- Proficiency in Word, Excel and Google platform
- Strong writing and research skills
- Interest in MAM’s mission and strategic direction, and ability to motivate and interact effectively with colleagues.
