Description
Private foundation with arts collection located in Salem, NH seeking to hire an Assistant Registrar to join the team. The Assistant Registrar is an integral member of the Curatorial team responsible for assisting various stakeholders with the documentation, movement, and care of multiple active collections. Assignments include accessioning new purchases, coordinating domestic and international shipping, completing regular collection inventories, managing outgoing loans as assigned, and assisting with or leading special projects as assigned. This position also provides administrative, research, and project support to the Manager of Registration and Collections Management as well as the Head of Private Curatorial.
Responsibilities:
- Manage outgoing loans as assigned including analyzing Facility Reports, loan agreements, packing and shipping, security and environmental requirements, display requirements, insurance, receipts, Rights & Reproductions agreements, condition reports, and annual inventories
- Arrange international and domestic shipping for new acquisitions, conservation, and residential moves
- Courier collection objects in shipment as required
- Coordinate and manage photo shoots with outside photographers including work for hire agreements, work orders for internal object moves, scheduling, and supervision of photographer during shoot
- Aid in data cleanup for database migration (projected migration – Summer 2023)
- Provide updates on upcoming auctions and items of possible interest, as well as compile comp data as needed for potential acquisitions
- Process new acquisitions – measure, number paint, barcode, condition report
- Object moves and inventory data entry
- Support the Manager of Registration and Collections Management by updating the Objects Not Purchased database for the secondary collection as needed
- Team lead for special projects as assigned
- Aid the Collections Manager with routine Integrated Pest Management (IPM) tracking
- Assist with light housekeeping projects
- Compare old card files against database records and resolve any differences
- Collaborate on onsite and offsite inventories
- General object handling as required
- Assist with pickup and deliveries as needed
- Assist with research projects as needed
- Other duties as required
Requirements
Education and Work Experience Requirements:
- Fine arts background is required.
- Three years’ minimum experience in the museum registration field.
- Knowledge of standard registration and collections managements policies and procedures.
- Knowledge of standard museum policies and procedures including loan policies according to AAM standards.
- Art handling experience.
- Literacy in Microsoft Office Suite specifically Access and Excel, Adobe Photoshop, and experience with collections management databases in general. Knowledge of barcoding technology a plus.

Careful and deliberate in order to handle fragile art objects. Able to maintain the highest degree of confidentiality and professionalism at all times.
Physical Requirements/Work Environment:
- Ability to work at heights over twenty feet and operate hand tools.
- Ability to complete tasks that require light to moderate, though not constant physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light to moderate weight (10-50 pounds).
- Must be able to operate an order picker (training will be provided).
- Ability to travel for 2-3 days at a time for offsite projects.
- Valid driver’s license and able to drive for work purposes as needed.
