The American Museum of Natural History is seeking a Department Administrator for the Rose Center Engineering department. This is an opportunity to work with an engineering team that designs and implements cutting edge electronic exhibition and video systems. The successful candidate will be organized, thorough, and with great customer service skills.

Responsibilities include, but are not limited to:

  • Oversee administrative duties in the office and ensure the office is operating smoothly.
  • Maintain and update departmental and project budgets, monitor and track spending.
  • Manage purchasing and receiving and update inventory database.
  • Manage office supplies and consumables and restock as necessary.
  • Receive and sort incoming and outgoing mail and shipments.
  • Maintain staff schedules, calendars, and organize team meetings.
  • Liaise with other departments including facilities, shipping, purchasing, and human resources.
  • Perform receptionist duties: greet visitors, answer and direct phone calls and emails, and provide general support to department visitors.
  • Organize office operations and procedures, identify opportunities for improvements, and design and implement new systems as necessary.

Required Qualifications:

  • Computer experience, including fluency with Microsoft Word and Excel.
  • Experience maintaining budgets.
  • Excellent communication skills, both oral and written, and ability to share information.
  • Work well with others in a large organization, and a small team.
  • High school diploma or equivalent.

Preferred Qualifications:

  • Familiarity with Google apps including Docs, Sheets, and Calendar
  • Experience with remote meeting software (eg. Microsoft Teams, Zoom, Google Meet).
  • Demonstrated ability to learn new systems and processes easily.
  • Bachelor’s degree.
