El Museo del Barrio, founded by a coalition of Puerto Rican educators, artists, and activists, is the nation’s leading Latino and Latin American cultural institution. The Museum welcomes visitors of all backgrounds to discover the artistic landscape of these communities through its extensive Permanent Collection, varied exhibitions and publications, bilingual public programs, educational activities, festivals, and special events.

SCOPE AND PURPOSE OF ROLE

The Events Manager at El Museo is responsible for creating one-of-a-kind events that can range from studio visits, lectures and intimate member events to large scale galas and parties. The Manager will organize and lead events from concept to completion, communicating effectively to senior management/event partners/vendors, while delivering events within budget. This position also requires identifying, cultivating, soliciting, and recognizing event underwriters/ sponsors and other event participants.

RESPONSIBILITIES

· Works across departments to conceive, schedule, plan and implement events, including exhibition openings, studio visits, private collection tours, travel program trips, VIP gallery tours at El Museo and with other museums

· Manages and executes all aspects of events for El Museo’s members and constituents, including event strategy, concept, invitations, decorations, vendor confirmation and management, sponsor facilitation, collateral creation, RSVPs, travel, and onsite management

· Manages and executes events focused on membership cultivation and recruitment

· Organizes, tracks, and provides oversight for sponsorships and donation requests, including procurement of donated goods and services (including silent auction items, decorations, catering services, etc.)

· Assists in planning cultivation engagement opportunities, including tours, trips, special art viewings, dinners, closed museum tours, and more

· Manages event budgets and seeks partnerships and sponsorships to add value and defray costs for events

· Creates and maintains run of shows, photo tip sheets, event materials, calendars, and recaps for every event

· Liaises with Operations Department on all issues related to maintenance and security for onsite events, in careful compliance with Operations Department protocol

· Works as Gala lead, along with the Director of Development and event and public relations consultants, to support all Gala logistics; including but not limited to correspondence, distribution of information and materials, liaising with vendors

· Maintains mailing lists, adds to and updates records, and exports lists and reports as needed

QUALIFICATIONS

· Bachelor’s degree, with proven track record of success in helping to organize special events and work with donors

· Experience in managing large scale events and galas preferred

· Excellent verbal & written communication skills; strong organizational skills; attention to detail

· Proficiency with donor databases, specifically Raiser’s Edge experience

· Excellent interpersonal skills, a collaborative style, and a sense of humor

· Ability to work on multiple projects simultaneously, prioritize, and meet deadlines

· Ability to work independently and as part of a team

· Willingness to travel, as well as work evenings and weekends to lead activities and events as needed

· Qualities such as flexibility, creativity, collaboration, and the ability to work well with an array of personalities, as well as an entrepreneurial approach and sense of humor
