Duties Description This specific Curatorial & Visitor Services Program Specialist serves as Collections Registrar and plays a key role with the documentation and logistics for care and exhibition of the art and object collections at the New York State Capitol, Executive Mansion, Empire State Plaza Art Collection, Harlem Art Collection, art and objects located at other New York State Office Buildings across upstate New York. In all locations, overall responsibilities encompass collections management tasks, registrar duties, processing of incoming and outgoing loans to and from other national and international institutions, securing required insurance documentation, acting as courier nationally and internationally, as well as assisting with the installation and de-installation of exhibitions.
This position reports directly to the Assistant Director/Chief Curator of Curatorial & Visitor Services and works in close collaboration with the Director of C&VS, Assistant Curator, and the Project Manager. This position is responsible for providing weekly registrarial updates, as well as coordinating long term projects with the Business Unit Director and Assistant Director/Chief Curator of C&VS. This position will work closely with Chief Curator on forward planning, forecasting, and management of resources.
Duties Include, But Are Not Limited To
- Registrarial: Database (Past Perfect) entry, maintenance, and management, including accurate location records for works of art in the collection
- Collection Management: Manages all aspects of collection care, documentation, and condition reports, including advising on safe methods of packing and transport of objects, consulting with senior staff on security issues, coordinating with conservators on maintenance, coordinating with facilities on necessary standards, including climate, light levels, air filtration, pest control, and construction and maintenance materials.
- Incoming and Outgoing Loan Management: Includes but not limited to, assisting with securing of loan renewals and oversight of the coordination of venues, shippers, art handlers, etc.
- Administration of Loans: Serves as the principle contact for internal and external colleagues on loan procedures, insurance and government indemnities, contracts, and lender negotiations.
- Monitoring and Ordering: Overseeing inventory of supplies for storage and conservation for collections; coordinates supplies and storage.
- Implementation of the Collections Management Policy: Maintains full understanding and administers department policy relating to the direct care of all objects in the care of the New York State Office of General Services
- Art and Artifact Installations: Oversees the installation schedule relating to art movements and staffing (including contractors) related to exhibitions, installations, and special events for collection and loaned objects in all sites, including storage.
Minimum Qualifications Bachelor’s degree and one year of experience in developing tours and programming of art collections, historic houses or historic sites, or marketing cultural programs. A bachelor’s degree in museum studies, art history, public history, or education may substitute for the experience requirement.
Operational Needs Include

- Must be able to lift 25 lbs.
- Must be able to stand for lengths of time
Preferred Qualifications
- A bachelor’s degree in an associated field (museum studies, conservation science, or library science)
- Two years of experience within a collecting institution, historic house, or an historic site
- Two years of collections management and fine art courier experience
- Knowledge of conservation is highly desirable.
