OSITION SUMMARY
The Frye Art Museum is seeking a flexible and detail-oriented team player to join the Education team. As a member of the Education team, the Coordinator, Creative Aging Programs provides support for a wide range of programs for older adults, including those living with dementia and their care partners. The Frye’s Creative Aging programs provide opportunities for older adults to deepen their life experiences, foster friendships, and build community through art. Additionally, Creative Aging programs offer professional development for social service and healthcare professionals.
In this position, the Coordinator will work closely with the Manager, Creative Aging Programs, Frye colleagues, and volunteers, as well as a range of communities and partners to offer unique and collaborative Creative Aging programs, ensuring that the Frye is a welcoming space for older adults. Additionally, the Coordinator will support the Museum’s off-site partnership programs, including the UW Memory and Brain Wellness Memory Hub. To achieve this work, the Coordinator will build and maintain productive relationships with Museum colleagues, partners, and other stakeholders.
ESSENTIAL FUNCTIONS
- Coordinate Creative Aging programs such as here:now, and other on-site programs as identified by Manager, Creative Aging Programs, focusing on all logistics, including but not limited to contracting, processing payments, travel arrangements, and facilities requests.
- Handle phone queries, emails, and registration for here:now and other programs which require advance registration. Make reminder calls/send reminder emails and prepare program rosters.
- Work with Manager, Creative Aging Programs, teaching artists, and contract educators to develop curriculum for on-site and virtual Creative Aging programs as needed.
- Prepare and facilitate Creative Aging gallery discussions in museum and virtually as needed.
- Assist with outreach to new and underserved communities and build awareness of the Frye’s Creative Aging programs.
- Support the Manager, Creative Aging Programs, in developing new on-site, off-site and virtual Creative Aging programs.
- Serve as liaison between the Creative Aging programs and the UW Memory and Brain Wellness Center Memory Hub through information-sharing, participant referral, collaboration, and program development. Functions include assisting with coordinating programs including the Alzheimer’s Café and attending monthly collaborator meetings and other Memory Hub meetings as requested.
- Coordinate quarterly Creative Aging e-newsletter via Mailchimp.
- Assist with other programs as needed, including Bridges, Meet Me at the Movies, and the Creative Aging Conference.
- Assist with evaluation and compilation of Creative Aging program data.
- Attend quarterly Creative Aging Advisory Committee meetings and compile minutes.
- Document programs via photos and other media and track program attendance and feedback.
- Represent Creative Aging programs at conferences, partner meetings, etc. as requested.
- Maintain current knowledge of best practices for working with Creative Aging audiences.
- Support designing, producing, editing, and implementing digital content and live, recorded, or interactive virtual programs for Creative Aging.
- Assist with the publishing of Creative Aging content, including images, video, audio, PDFs, and more to the Frye’s blog and/or website.
- Work with web-based multimedia formats for Creative Aging programs, including streaming audio/video via Zoom, Microsoft Teams, Streamyard, and/or other platforms.
- Maintain audio and video archives of Creative Aging programs.
- Identify enhancements and plan future improvements to user experience and/or internal workflow.
- Troubleshoot live virtual Creative Aging programs, links, navigation, and registration pages to ensure reliability of experience for visitors and make corrections as required.
- Collaborate with Communications Department to: manage digital content; gauge community input and response to Frye exhibitions and programs; research and test existing and emerging digital channels to expand the Museum’s reach.
- Apply best practices for accessibility, usability, and agility of digital content and virtual programs.
- Support other Education programs and initiatives as needed.
QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- B.A. in humanities, museum studies, education, or arts education or B.S. in social work preferred.
- At least two years’ related work experience in a museum or non-profit environment with a focus on adult and/or education programs.
- Professional or personal experience in working with older adults, including adults living with dementia and their care partners.
- Excellent team player with ability to work cooperatively and effectively with Museum staff, as well as ability to work well independently.
- Exceptional time management, project management, and organizational skills.
- Detail-oriented with ability to prioritize, manage, and multitask; ability to coordinate complex schedules and prevent and solve problems.
- Professional demeanor and ability to interact with all levels within the organization and external vendors. Ability to exhibit discretion and handle confidential information appropriately.
- Excellent written and oral communication skills.
- Fluency with Microsoft Office Suite (Word, PowerPoint, Excel, Teams) and Zoom.
- Knowledge of Mailchimp, Drupal, and video editing and production is helpful.
- Availability to work evenings and weekends at programs and events as needed.
- Strong presentation skills and confidence in serving as a spokesperson for an organization.
- Willingness to undergo a criminal background and employment reference check.

REMOTE WORKING CONDITIONS
Temporary telework arrangements may be in place during the COVID-19 pandemic, although staff are required to be on site each week and work with their manager or supervisor regarding scheduling. Some of the work may be performed off-site such as in the home or in a space near the home. Equipment may be owned and maintained by the employee or the Museum. Communications may be by email, mobile phone, internet video, electronic messaging, or other means as technology allows.
PHYSICAL ACTIVITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS
- Sitting/Standing/Walking: Approximately 90% of time is spent seated while working at a desk. Balance of time (approximately 10%) is spent standing or moving around the work area. Speaking/Hearing: Clear diction and acute hearing are necessary for effective communication with donors, members, the public, and co-workers.
- Lifting/Carrying/Pushing/Pulling: The ability to lift and carry up to 20 pounds is necessary for moving material and equipment for programs.
- Vision: Corrected vision close to 20/20 is necessary to effectively use the computer screens.
- Stooping/Kneeling: The ability to stoop and kneel is necessary for accessing files.
- Reaching/Handling: Good manual dexterity is necessary for computer keyboard use and for retrieving and working with appropriate paperwork, equipment, and supplies.
