GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Associate for Administration will report to the Associate Administrator and assist the department’s staff with general office management as well as reporting, collections management, and departmental communications. This role requires excellent interpersonal skills and the individual must be organized, computer proficient including TMS, able to multi-task, meet deadlines, and problem solve.

PRIMARY RESPONSIBILITIES & DUTIES:

Reception & Office Management:

  • Answering the main phone line
  • Picking up guests for meetings
  • Picking up packages from Receiving
  • Acting as PPE liaison
  • Sorting, distributing, and sending mail
  • Ordering and organizing supplies and putting them into the correct storage places in the kitchen
  • Correspond with Konica Minolta and oversee maintenance of copy machines.
  • Replace printer ink and reorder as needed.
  • Organizing departmental files

Departmental Computer Liaison

  • Serve as the CLG representative
  • Serve as the first line of departmental computer troubleshooting as well as the liaison to the help desk when any departmental computers break

Workday Timekeeping

  • Monitor hourly employee time in Workday. Submit weekly.

Annual Report & Recent Acquisitions

  • Annually compile list of recent acquisitions and staff publications to send to Counsel’s Office for inclusion in the annual report.
  • Recent acquisitions bulletin – organizing photography and text and submitting to editorial
  • Communication
  • If needed, assist with planning of public Education lectures within the Department.
  • Assist with the planning, editing, and formatting of the departmental newsletter.
  • Contribute to the departmental Instagram account, or work creating promotional material (invitations, graphics, etc.) for departmental use.

Collections Assistant Work:

  • Steward Loans, Gifts, and Acquisitions paperwork through all processes
  • Consult with Counsel’s Office to confirm that paperwork is correct
  • Data entry in TMS, Creation of gallery labels, Organizing and maintaining curatorial files and card catalog
  • Photo ordering
  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS:

Fully vaccinated with an FDA or WHO authorized vaccine (or approved for an exemption as a reasonable accommodation due to a disability, sincerely held religious belief, or pregnancy, or because you are a victim of domestic violence, stalking, or sex offenses).

Experience and Skills:

  • Experience working with TMS (The Museum System)
  • Experience with Workday
  • Proficiency with Microsoft Office Suite, Teams, Outlook, and Zoom
  • Adobe Photoshop and Adobe InDesign
  • Extremely good organizational skills
  • Willing to learn new processes and technologies
  • Ability to understand and implement systems
  • Comfort with computers and computer software
  • Willingness to take ownership over processes
  • Ability to problem solve and willingness to assist others with issues as they come up.

Knowledge and Education:

  • At least 2 years in a professional administrative role
  • Interest in Islamic art
