GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

This position provides administrative support for the Operations teams of Institutional Advancement department. Main responsibilities include gift and payment processing, completing deposits with the Museum’s Cashiers Office, researching and addressing processing issues, maintaining database hygiene, and the day-to-day administrative work of the Operations teams. In addition, the position interfaces with donors and MMA staff on the telephone and by email, answering questions about donations and reconciliations.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Review and process gifts from multiple channels in the Tessitura database;
  • Maintain and update donor records;
  • Run quality control and CSI reports in Tessitura as assigned;
  • Contact members to obtain updated payment information;
  • Complete check deposits in the Museum;
  • Produce and edit contribution receipts;
  • Database maintenance projects;
  • Compile distributions of gifts received;
  • Assist as needed with Operations phone lines and external email accounts;
  • Assist with other administrative work as directed by supervisors;
  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS:

  • Fully vaccinated with an FDA or WHO authorized vaccine (or approved for an exemption as a reasonable accommodation due to a disability, sincerely held religious belief, or pregnancy, or because you are a victim of of domestic violence, stalking, or sex offenses).
  • Strong organizational skills with the ability to prioritize required;
  • Attention to detail and excellent written and verbal communication skills
  • Professional phone demeanor and/or previous customer service related experience
  • Working knowledge of Microsoft Office products (with a focus on Word, Excel, and Outlook)
  • Proficiency working with Adobe Pro to create and edit PDFs.
  • Must be able to work in a collaborative team environment, but also independently as needed

Knowledge and Education:

  • Proficiency with Microsoft Office required;
  • Some experience with, or a strong familiarity with, database systems, particularly donor-related systems. Experience with Tessitura is preferred.
  • Some familiarity with financial workflow preferred
