Description

It serves the people of New York and visitors from around the world through exhibitions, school and public programs, publications, and collections.
The Museum seeks an experienced, energetic, and detail-oriented Manager, Events Sales who will manage the daily operations of the department and coordinate events operations for approximately 80 events per year, including weddings, bar mitzvahs, film shoots, corporate and social events, and more. The Manager is also responsible for marketing and selling the Museum’s indoor and outdoor spaces for external events to drive Museum revenues to meet and exceed financial targets.
Essential responsibilities include, but are not limited to, the following:
Events Operations and Sales
o Manage logistics of the event, including timeline, space, furniture, and staffing needs
o Manage beverage requests and ordering for all internal events
o Hire and manage support staff for internal events (including bartenders)
o Manage accounts receivable and payable, ensuring payment and resolution of all billing matters for contracted events, including processing invoices for event contractors
o Direct all rental events to supervise logistics to ensure client satisfaction
o Maintain and cultivate a relationship with the Museum’s caterers, internal maintenance and security teams, and external vendors to coordinate, plan, and execute well-produced events.
o Answer incoming inquiries via phone, email, or meeting with walk-in clients
o Lead face-to-face sales meetings and walk-throughs
o Create and negotiate contracts for the Museum’s venue rental department
Administrative
o Support the Director of Events Sales with meeting and/or surpassing income goals each fiscal year
o Prospecting for venue rental clients through marketing initiatives, including digital and social media outreach, and marketing materials
o Strategize and develop new ways to increase sales and venue rentals
o Maintain Museum’s venue calendar while working with other departments to maximize the usage of the Museum’s various event spaces
o Update and maintain detailed reports tracking inquiries and sales as well as a detailed database of past and future clients
Beverage Sales
o Assist with the growth and development of the Museum’s beverage sales program, including:
o Increase beverage package sales and coordinate selection for events/venue rentals
o Monitor receipt and processing of payments
o Conduct weekly and monthly inventory, ensure compliance with State Liquor Authority and regulations
o Work closely with all security, facilities, and maintenance staff to ensure the proper storage and security of inventory
· Other duties as assigned.
Qualifications:
· Bachelor’s degree, preferably in the areas of business, sales, marketing, or hospitality management
· Two to five years of event sales and production; Museum and/or non-profit experience a plus
· A passion and talent for customer service and event management and the proven ability to meet and exceed sales goals preferred
· Working knowledge of food and beverage services, especially liquor sales preferred, training in this area is available.
· Excellent oral and written communication skills with the ability to communicate effectively and enthusiastically with a variety of clients
· Exceptional interpersonal and networking skills
· Ability to work in a fast-paced environment while maintaining a professional and courteous demeanor
· Flexible outlook, with the ability to solve problems creatively and professionally.
· Able to work evenings and weekends/holidays (e.g., to oversee event setups; conduct periodic client meetings and walk-throughs).
· Excellent computer skills, including Microsoft Office (Word, Excel, PowerPoint), Altru, AllSeated, Salesforce, Tripleseat, Raiser’s Edge, and/or a proprietary database, are plus.

Working Conditions and Physical requirements
The Manager, Event Sales will work primarily onsite with the possibility of some remote work. Administrative hours are Monday-Friday, 9-5 pm; the Manager must be available to work evening and weekend events as needed, with a flexible schedule. The Museum environment is fast-paced and in an open office plan setting with galleries and event spaces; the Manager will work with outside vendors and clients for sales work. In performing this job, individuals are regularly required to lift to 20 lbs. unassisted and up to 50 lbs. with assistance. Individuals in this role spend 50% of the time stationary working at a computer desk and regularly are required to traverse the Museum spaces to provide tours to prospective clients.
