Responsibilities:

• Works in close collaboration with the Agnes Gund chief conservator, the media conservation team, and Conservation department manager, as well as select outside partners, consultants, and advisors throughout the duration of the Media Conservation Initiative.
• Coordinates all communications, scheduling, air and hotel reservations, and accounting procedures related to the grant project.
• Coordinates the participation of the Workshop Planning Committee (and Peer Forum partners).
• Devises and updates project schedule in collaboration with the Agnes Gund chief conservator and media conservation team.
• Organizes and executes two Media Conservation Workshops, one Peer Forum, and related planning meetings including travel, hotels, per diems, honorarium, participant applications, social events, scheduling and booking of conference rooms, and all aspects of workshop planning including, audio/visual needs, speakers, photographers, vendors, etc.
• Participates in the editing, preparation, and dissemination of research materials as related to the program’s didactic Media Conservation Initiative Workshops and Peer Forums. Such materials are featured on the project website https://www.mediaconservation.io/ and via social media.
• Assembles and manages all feedback and evaluation materials from Workshops and Peer Forum participants;
• Maintains budget and financial records for the entire Media Conservation Initiative. Tracks major milestones and deadlines of the grant. Assists with preparing progress and final reports.

Requirements:

• Bachelor of art degree or higher and experience performing a significant level of administrative work in particular coordinating workshop and forum participants, their associated travel demands, catering and disseminating workshop materials.
• Demonstrated interest in media arts preferred
• Experience in event planning desirable
• Excellent administrative, organization, and written/oral communication skills
• Strong attention to detail
• Experience with the management of budgets
• Proficiency in Microsoft Word, Excel, PowerPoint, Google Drive, Square Space, Financial Force (or equivalent accounting software) as well as office procedures and equipment.
• Strong interpersonal and teamwork skills
• Ability to work independently, meet deadlines, and coordinate projects simultaneously with tact and diplomacy.
