Purpose/role of the position within the organization

The Irish Studies Department is seeking a graduate student to support the Irish Studies Administration/Events team by coordinating speaker and attendee information, maintaining event materials and logistics, and assisting with onsite registration and customer service. The graduate student assistant is projected to work no more than 20 hours a week. The hourly rate will be $30/hour.

Description of Responsibilities: 

The office assistant will perform the following tasks:

  • Assist Administrative team in development and coordination of a speaker database with event speakers; verify contact information and receipt of biographies, release forms and photographs.
  • Assist with attendee database by proofreading registration information and identifying and coding registrant information.
  • Assist with proofreading and coordination of the event program, website. 
  • Maintain event files, checklists, and flow of production activity.
  • Assist with events logistical arrangements.
  • Assist with customer service at the onsite registration desk.

Qualifications: 

  • Excellent computer knowledge and proficiency in advanced Word, Excel, Adobe Acrobat, and Google Docs applications.
  • Excellent written and verbal communication skills.
  • Excellent customer service skills.
  • Ability to work primarily independently, but also as part of a team.
  • Attention to detail.
  • Ability to prioritize.
  • Must be organized and detail-oriented with a high level of accuracy.
  • Ability to work a flexible schedule.

Evaluation Procedures:

The students will have bi-weekly check-ins with the supervisors.  Continuous communication will be maintained throughout the duration of the position and performance guidelines will be verbally discussed at the start of employment and revisited when needed.

In compliance with NYC’s Pay Transparency Act, the hourly base salary range for student employment positions are $16.50-$18 per hour for undergraduate students and $30 per hour for graduate students. The hourly rate for graduate employees is based on the collective bargaining agreement with Local 2110.
