JOB SUMMARY
The Education Associate provides administrative and logistical support to the entire Education Division, with a specific focus on the needs of the Vice President for Education. This work includes purchasing and organizing supplies and other materials; processing all financial records and reconciling the monthly credit card reports; coordinating the Division’s weekly e-newsletter; responding to phone and email inquiries regarding the Education Division’s work; taking minutes at bi-weekly staff meetings and quarterly meetings of the Education Committee of the Board; and generally supporting the Vice President’s administrative needs.  

The Education Associate is a part-time (24 hours per week), in-person position.

ESSENTIAL JOB DUTIES

  • Provide administrative and project support to the New York Historical Education Division, including:
    • Order and maintain office-wide and project-based supplies
    • Coordinate the use of the Division’s credit card and reconciling monthly statements with the Finance Department
    • Process invoices and check requests, ensuring timely payment via the Finance Department
    • Maintain the Division’s physical office space, coordinate annual cleaning days, and liaise with Maintenance and Operations, as needed
    • Schedule and reserve space for bi-weekly Education Division staff meetings, circulate agendas, and take minutes
  • Support the Education Division’s marketing and communications efforts:
    • Partner with the institution’s Communications and IT departments to update relevant pages on the nyhistory.org/education pages and support Education-related social media posts.
    • Write, build and schedule the Education Division’s weekly e-newsletter in partnership with the Education Division’s various programmatic teams (school programs, teacher programs, teen programs, etc.).
    • Coordinate the annual production of the Education Division’s brochure.
  • Work closely with the Vice President on meetings of the Education Committee of the Board, including
    • Coordinating meeting logistics (room setup, catering, etc.)
    • Tracking attendance and RSVPs
    • Taking and circulating meeting minutes
  • Provide general administrative, logistical, and project management support to the Vice President: 
    • Manage telephone and correspondence
    • Liaise with other departments within the institution on programming, scheduling, etc.
    • Perform administrative and logistical tasks to facilitate meetings and events
  • Provide support for Division-wide special events.
  • Additional duties as requested.

REQUIREMENTS

  • Bachelor’s degree in Education, Museum Studies, Liberal Arts, or a related field;
  • Experience and/or interest in working in a museum setting;
  • Must be highly organized and detail oriented;
  • Ability to prioritize work and meet deadlines;
  • Strong notetaking/minutes recording skills;
  • Communication and interpersonal skills;
  • Database and spreadsheet management skills, with particular focus on Microsoft Excel;
  • Comfort navigating a range of software platforms, including Microsoft Office and Google Suite, Mailchimp, Tessitura and others. Previous experience a plus, but not required.;
  • Ability to work independently and as a member of a team.

The physical demands described here are representative of those that must be met by an employee with or without accommodation, to successfully perform the essential functions of this job. 

This is largely a sedentary role using a computer; however, some filing is required. This requires the ability to lift files (up to 25 lbs.), open filing cabinets and bend or stoop as necessary.
