SUMMARY OF POSITION:

Under the guidance of the Senior Director, Curatorial Affairs, the Department Assistant will perform administrative support for the Curatorial Department on a day-to-day basis and coordinate activities with Guggenheim staff and/or external entities as needed.

SKILL AND EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree preferred
  • At least two years of administrative experience relevant to the position, or equivalent, preferred.
  • Interest in art history and the museum profession preferred.
  • Excellent communication and organizational skills.
  • Ability to take direction and work as part of a team.
  • Flexibility and the ability to adapt to changing priorities.
  • Excellent attention to detail and the ability to handle multiple projects in a fast-paced environment is a must.
  • Ability to be proactive, use independent judgment, and initiative.
  • Professional demeanor and diplomatic skills required.
  • Must exercise good judgment and discretion.
  • Proficiency in Microsoft Office Suite, Adobe Suite, Internet research, and other standard office procedures and equipment.
  • Familiarity with The Museum System (TMS), aiding with basic data entry for exhibitions, a plus
  • Ability to employ expense and event management software programs a plus

KEY RESPONSIBILITIES:

Duties may include, but are not limited to, the following:

  • Assist with general organization and upkeep of office space.
  • Occasional research and writing.
  • Monitor department mail and respond to general inquiries from external and internal parties.
  • Manage and order supplies for the department.
  • Provide administrative support for senior curatorial staff, including scheduling meetings, creating PowerPoint presentations, assisting with travel arrangements, and processing invoices and expense reports.
  • Maintain department calendar and schedule departmental meetings. Coordinate with Assistant to Chief Curator, as needed.
  • Attend interdepartmental calendar meetings. Assist with scheduling Curatorial tours with outside parties as well as within the institution, using Artifax (event management software).
  • Prepare and distribute departmental agendas, minutes, and communications as needed.
  • Maintain department’s contacts.
  • Prepare Curatorial report and other materials, as needed, for the Board of Trustees.
  • Support the Collections team with research, correspondence, loan activities, and catalog raisonné queries.
  • Assist with meetings and information tracking related to new acquisitions, as needed.
  • Update curatorial department information on the website and intranet.
  • Update and maintain the shared curatorial drive.
  • Provide support for the annual Basque Artists Program.

WORK DEMANDS and ENVIRONMENT:

  • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
  • Ability to lift at least 25 lbs.

WORK SCHEDULE: 40 Hours per Week, Schedule TBD

POSITION TYPE: Full-time, Non-Exempt. This position is covered by a Collective Bargaining Agreement with Local 2110 UAW.

SALARY: $61,800 Annually
