About The Role
The Collections Information Assistant works with the Senior Manager of Collections Information in the Museum’s TMS (The Museum System) database. This position supports the work of the Registration and Collections Management, Curatorial, and Conservation departments, meeting the high standards set for collections care.
Responsibilities
- Make daily updates to object and location information in the collections database per the Museum’s format guidelines
- Provide support for Conservation department; assist with condition report–related documentation in TMS
- Review and maintain media records in TMS, including media linking and metadata standardization
- Provide technical support and assistance to staff users of TMS
- Provide TMS training for staff and interns
- Assist with TMS-related recordkeeping and paper file management
- Participate in the development of data entry guidelines and procedures
- Assist with data clean-up projects to standardize information per format guidelines
- Assist with exhibition and loan records in TMS on an as-needed basis
- Other database and technology-related projects as assigned
Qualifications
- Previous experience with The Museum System (TMS) or other museum collections database
- Familiarity with museum registration procedures and cultural heritage metadata standards for cataloguing art and artifacts (Getty Thesauri, VRA CCO, etc.)
- Bachelor’s degree in art, art history, museum studies, library science, or computer science, or one year of related work experience
- Ability to perform accurate data entry, meticulous attention to detail, and excellent organizational and recordkeeping skills
- Experience with digital asset management and media file metadata
- Visual acuity, including an ability to read a variety of handwritten and typewritten documents
- Ability to meet deadlines, follow editorial and format guidelines, and focus on detailed work in a fast-paced, open-office environment
- Excellent grammar, spelling, and punctuation
- Ability to work well independently and with a team on complex collection research projects
Preferred Skills
- Advanced experience with TMS
- Experienced with a range of office software including Microsoft Teams, and Google Drive
- Familiarity with NetX
