Job Title: Museum Registrar

Job Status: Full-time

Salary: $75,000


Job Summary:

The registrar position requires a meticulous and organized individual to oversee the management of the Museum’s collections and exhibitions. The registrar is responsible for maintaining accurate records, facilitating loans and movement of artworks, and ensuring compliance with legal, ethical, and institutional standards. Exhibition management responsibilities include the issuing of loan agreements, planning and organizing the packing, shipping and insuring of loans to the Museum for exhibitions in coordination with lenders, shippers and in-house Museum staff, and reviewing all documentation, including but not limited to, traveling exhibition contracts as applicable.

 

Responsibilities:

Collections Management

• Develop, maintain, and implement collection management policies and procedures

• Maintain department records and database

• Oversee rights and reproductions for collection objects as well as object photography

• In collaboration with the chief preparator/director of facilities and campus facilities, routinely inspect galleries and storage areas to assess environmental conditions and risk management concerning object storage, display, and security

• Assess and execute ongoing care, conservation, and preservation of the art, adhering to current museum standards and best practices

• Conduct annual collection inventories

• Maintain fine arts insurance coverage

• Understand and be prepared to implement the Museum’s emergency response plan

Exhibition Management

• Manage and coordinate all incoming/outgoing loans and traveling exhibitions, including art transportation, coordinating crating and shipping, and occasionally traveling as a courier and Museum representative

• Issue loan agreements for loans to exhibitions

• Ensure insurance coverage for incoming loans

• Lender coordination and negotiation

• Review exhibition contracts for travelling exhibitions from other organizers and coordinate with the director and the curatorial department

• Arrange for all shipping and crating as necessary

• Participate in exhibition planning calendar and logistics

Acquisitions and Donations

• Coordinate the Collections and Acquisitions Committee meeting bi-annually

• Process and catalog accessions by donation, acquisition, and bequest in collaboration with curatorial staff, including all legal documentation and arrangements

• Issue Deeds of Gifts

Documentation, Reporting, and Budgeting

• Supervise archivist and provenance researcher

• Manage the Registration and Archives budget, including developing budget lines

• Process paperwork, including legal documents, insurance, scheduling, and condition checking of objects

• Create and maintain documents pertaining to packing, crating, transportation, couriers, and insurance

• Provide reports to the director as requested

Educational Support

• Work with faculty, staff, and students to provide access to Museum resources and mentorship for curricular purposes

 

Qualifications:

Experience and Skills:

Required

• Minimum five to seven (5–7) years of related registrar experience at a major art museum or gallery

• Excellent organizational, written, and verbal skills

• Strong interpersonal skills

• Extremely detail-oriented

• Excellent time management skills; ability to work under pressure and meet deadlines

• Collections management database experience

• Computer proficiency – MS Office Suite and Acrobat

• BA degree in relevant field required

 

Preferred

• Supervisory experience

• Experience in an educational setting

• Master’s degree, certificate, or track in relevant field preferred
