The Major Gifts Assistant serves as the first point of contact with the general public on behalf of the Major Gifts office and, at times, for the Advancement department at large. The Major Gifts Assistant works in close coordination with Senior Advancement staff and reports to the Manager of Major Gifts. In addition to working across the Advancement department and throughout the Museum, the Major Gifts Assistant will have a strong focus on donor stewardship, as well as be involved in a wide range of administrative activities for the Major Gifts department.
Responsibilities:
- Oversee the acknowledgment of major gifts and pledges, including processing gifts and drafting acknowledgment letters.
- Prepare and mail membership cards and gift acknowledgments in a timely manner.
- Support the stewardship of Whitney patron groups and their benefit fulfillment through in-person events and coordinating donor tours.
- Provide administrative support for Major Gifts colleagues by helping with exhibition and program fundraising.
- Draft general correspondence and the monthly Major Gifts newsletter.
- Collaborate with Major Gifts colleagues to prepare billing statements and solicitations.
- Organize large-scale catalogue mailings.
- Organize weekly Major Gifts team meetings.
- Work collaboratively with the Major Gifts team and other departments to ensure that the website, intranet, and informational print materials are up to date.
- Maintain donor lists in collaboration with Business Systems and Special Events, as well as create processes to review and maintain donor profiles in Raiser’s Edge.
- Process invoices in Concur.
- Assist on special projects as they arise.
Job requirements:
- Bachelor’s Degree
- 1-2 years of administrative experience
- Strong attention to detail and organizational abilities
- Good writing skills and excellent phone manner
- Ability to work in a fast-paced environment
- Experience with MS Office and Raiser’s Edge or similar database
