POSITION

The New York Academy of Art seeks an Exhibitions Registrar that supports daily operations of its Exhibitions Department. The successful individual in this position is expected to be a positive person that is detail-oriented and accustomed to handling large quantities of data and wants to grow with the position and be a part of the Academy community.

The position is mid-level, full-time permanent and requires 5 days per week to occur during the hours Monday through Friday, 10am-6pm in-person at the New York Academy of Art. Occasional weekend and overtime work may be necessary, and there also might be travel for art fairs. This position reports to the Director of Exhibitions.

HISTORY

The New York Academy of Art was founded in 1982 by artists, scholars and patrons of the arts, including Andy Warhol, to foster a resurgence in the training of figurative and representational art. The Academy has since developed into a 501 (c)(3) non-profit cultural institution housing the nation’s first graduate school of figurative art, a continuing education program, the region’s most in-depth figurative art library, an extensive exhibition and lecture series, and iconic New York City events such as Artists for Artists and Tribeca Ball.

RESPONSIBILITIES

· Frontline participation at Academy exhibitions and annual fundraising events Take Home a Nude, Deck the Walls, Tribeca Ball, drawing parties, etc.

· Assist Director of Exhibitions and Preparator to manage and hire staff and supervise exhibitions personnel for preparation, design, installation and de-installation of shows

· Cultivate relationships and maintain business with patrons, art-handling firms, corporate clients, etc.

· Assist in art handling including install, de-install, lighting, and packaging of all works in exhibitions and events

· Oversee movements of over 1,300 donated and loaned artworks (i.e. exhibitions, sales, short- and long-term storage)

· Create and conduct incoming and outgoing condition reports

· Organize and create all exhibition-related paperwork (loan agreements, bills of sale, invoices, bills of lading, and other documents)

· Assist Director of Exhibitions and Preparator to coordinate shipping of all works on loan and sold

· Create and install wall labels and signage, as well as collect and prepare all content for exhibition checklists

· Manage artwork sales (draft invoices for buyers, package artwork for pick-up/delivery and communicate with buyers for same, obtain shipping quotes for buyers via USPS, UPS, DHL, FedEx, and fine art shippers)

· Maintain digital records for all aforementioned artwork including exhibition webpages, Salesforce records, and artwork storage (offsite and onsite)

·Photograph and edit all aforementioned artwork for online viewing, sales, and archives

· Assist with organization of frame donation pickups and generate frame donation letters as well as inputting into Salesforce

· Manage Student Curatorial Committee exhibitions twice a year

· Oversee exhibitions and events supplies for all Academy endeavors

· Oversee creation of promotional collateral and display materials, maintain archives of same

· Supervise ongoing customization of artwork database and coordinate with artists and jurors regarding submissions

· Assist with occasional studio tours

· Act as the point person representing the Exhibitions Department for students’ needs and inquiries

REQUIREMENTS

· At least 2 years of experience in a similar role working for a gallery, museum or similar arts institution

· Extreme attention to detail (majority of the job with be data entry and data maintenance) – we see over 3,000 works per year in-person and/or digitally and must be able to handle large amounts of data

· Knowledge of photo editing with Adobe Photoshop

· Proficiency in Microsoft Office Suite, Google Sheets, Google Drive

· Excellent communication skills and the ability to work collaboratively across teams

· Adaptable and able to work in a fast-paced, detail-oriented environment

· Efficient problem solving and time management abilities

· Must be able to lift over 40 lbs and be comfortable with using a ladder
