Job Title: Associate Collections Registrar
Job Status: Full-time
Location: San Diego, CA
Salary: $70,000 – $74,000
Position Summary
The Associate Collections Registrar is responsible for the care and maintenance of the permanent collection as well as loans from the Museum to other institutions worldwide.
Duties & Responsibilities
- Organize displays and rotations of the museum collection.
- Work with Museum art preparators to professionally handle, pack and unpack, install, and de-install artwork of all types according to museum standards.
- Prepare contracts for loans of artworks from the collection.
- Review facilities reports and insurance certificates of borrowing institutions.
- Ensure collection is properly stored, documented, and insured. Monitor environmental conditions in galleries and storage areas.
- Organize matting, framing, packing, couriers, and worldwide transportation for works of art from the collection.
- Liaise with curators, appraisers and scholars to encourage research and ensure accessibility of the collection.
- Perform condition reports and organize conservation work for the collection.
- Organize photography of the collection and online public access.
- Attend Collections Management Committee meetings, and have works of art available for their review.
- Prepare documentation for museum accessions and deaccessions.
- Courier artworks both nationally and internationally; act as an ambassador for the Museum.
- Keep art storage vaults and installation areas clean and orderly for efficiency and the safety of personnel and art objects.
- Organize and participate in regular inventory checks. Maintain accurate location records in museum database.
- In conjunction with the Senior Registrar, assist in preparation and management of annual budget.
- Oversee the instruction and supervision of contract laborers, interns, and volunteers that assist with Museum Registration.
- Follow American Alliance of Museums (AAM) guidelines and Museum Policy to determine and implement best practices and ethics for Museum Registration.
- Follow Transportation Security Administration (TSA) requirements to maintain Museum certification.
- Willingness to work out of hours to receive art shipments and assist with installations.
- Periodically attend professional conferences and/or workshops.
- Attend institutional meetings and perform other tasks as may be required.
Work Environment
- Office space shared.
- Noise level ranges from quiet to moderately noisy.
- Daily walking required to the Museum, which includes stairs.

Requirements
Qualifications
- Bachelor’s degree with emphasis in art history, museum studies, or related field and minimum of five years museum registration experience.
- Candidate must be highly organized, detail-oriented, and possess strong communication skills, both oral and written.
- The Associate Collections Registrar must have the ability to work independently and as part of a team while meeting deadlines and working calmly under pressure.
- Experience with EmbARK and/or equivalent museum databases, collection care, condition reporting, and art shipping and handling is essential.
Physical Demands
- 60-80% time spent sitting at the computer.
- Some carrying and lifting up to 25 pounds.
- Ability to use small tools.
