The American Museum of Natural History is one of the world’s preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.

The Events and Conference Services department is seeking a full-time Event Manager. The Event Manager coordinates, plans and carries out internal/external events to generate revenue and meet Museum goals. They promote the Museum as an event venue to external clients while resolving operational issues, highlighting the Museum’s unique resources.

Applicants should be focused on great customer service and be dedicated to meeting client expectations by building effective relationships and completing projects to the highest standards. They should possess excellent judgment, problem-solving skills, project management skills, organizational skills and be able to balance multiple tasks/project timelines. The ability to manage projects, while focusing on the details, from planning through execution, is another highly-valued quality.

Job duties include:

  • Communicate venue capabilities and policies to internal/external clients and ensure assigned events are operating in accordance with the Museum’s policies and event guidelines, as well as city, state and federal regulations.
  • Manage portfolio of assigned internal and external event bookings, serving as the primary venue contact throughout the entire planning process and supervise the full life cycle of event operations:
  • Act as liaison between the in-house caterer and internal departments/external clients.
  • Conduct liquor inventory.
  • Ensure the quality of Museum services and internal/external client satisfaction, while generating maximum revenue and minimizing expenses.
  • Collaborate with internal and external clients to facilitate all venue logistics, including room setup, catering, AV, Security, Facilities and outside vendors.
  • Ensure proper internal staffing for every program/meeting and work in collaboration with internal service departments on the execution of event services.
  • Control expenses, prepare and reconcile invoices and prepare profit/loss reports.
  • Administer terms negotiated in contract with external clients.
  • Facilitate meeting/program/event requests from internal clients and the Museum-wide Events calendar.
  • Organize, input and update data in Momentus (the Museum’s booking management software).
  • Support department operations and administration as assigned.
  • Maintain a work schedule that includes early mornings, evenings, weekends and holidays.

The expected salary range for the Event Manager is $65,000/annual – $70,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.

Required Qualifications:

  • High School Diploma or equivalent.
  • 3 years of experience coordinating events, including professional experience working with food and beverage services, venue operations, event planning and/or hospitality.
  • Experience with CRM/Event Management software.
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Outlook, SharePoint, Teams, Word, Excel and PowerPoint).
  • Excellent writing and communication skills.

Preferred Qualifications:

  • Bachelor’s degree in hospitality.
  • Familiarity with floor plan design software.
  • Experience at a nonprofit or cultural institution.

Physical Demands:

  • Must be able to remain in a stationary position (sitting or standing) for prolonged periods.
  • Must be able to move about the Museum campus.
  • Positioning/change of positioning: Must be able to frequently position oneself/body to accomplish job duties.
  • Exerting up to 50 pounds of force occasionally and up to 20 pounds of force frequently. May include any of the following:
  • Pushing: Using upper extremities to press against something with steady force to thrust forward, downward, or outward.
  • Pulling: Using upper extremities to exert force in order to drag, haul or tug objects in a sustained motion.
  • Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position-to-position.
