Public Programs creatively showcases the work from within the Museum and reaches New Yorkers with engaging, relevant and well-researched content for audiences of all ages.
The Public Programs Associate plays a pivotal role in orchestrating seamless events. They are responsible for handling event logistics with both external talent and internal collaborators, ensuring all technical aspects are in order for a diverse range of engaging programs. This energetic self-starter will facilitate all aspects of presenter logistics, including agreements, travel arrangements and reimbursements. On the day of events, the Associate will work directly with the Programming Manager to coordinate onsite management, ensuring everything runs smoothly.
With a focus on customer service, they adeptly manage inboxes and phones, providing invaluable support to both presenters and attendees. Additionally, this role involves effectively coordinating schedules and setting meetings with collaborators, as well as scouting for captivating science and artistic events on a monthly basis. Post-event, they are instrumental in the distribution and analysis of assessments, allowing their team to continually refine and enhance programming for an even more enriching visitor experience.
The Associate will join a small team, and should be excited for the opportunity to bring innovative ideas for programming to the Museum. This position involves some work on nights and weekends.
Responsibilities include:
- Event logistics: a wide array of critical tasks, including asset collection from talent, creating marketing copy for events and submitting Museum forms with internal departments across many areas. Carrying out day-of tasks alongside the Programming Manager (e.g., set-up, intern management, event check-in, talent management, break-down, and analysis).
- Administrative support: acting as the main liaison between the public and department, answering phone calls and managing the department’s inbox. Supervise file collection and storage via SharePoint. Maintain the project management tool. Coordinate the department calendar, including the management of regular calendar events and the creation of weekly workflows.
- Scouting: maintaining a calendar of talent/events for consideration. Creating a system for tracking these events and comments from attendees.
- Museum events and special projects: assisting at member and donor events as needed. Working with Membership and Institutional Advancement teams to assist with special projects as assigned.
The expected salary range for the Public Programs Associate is $43,000/annual – $48,000/annual. This position is overtime-eligible and the AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.
Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Required Qualifications:
- High School Diploma or equivalent.
- Experience with event management and project management tools.
Preferred Qualifications:
- Familiarity with ticketing systems.
