Position Objective

Working closely with the Director of NYFA Grants, the Program Officer will be responsible for coordinating the delivery of various NYFA Grants programs, including but not limited to: the NYC Women’s Fund for Media, Music and Theatre (NYCWF), the Queens Arts Fund (QAF), and the Anonymous Was A Woman Environmental Art Grants (AWAWEAG). Launched in 2018 by the Mayor’s Office of Media and Entertainment, the NYCWF is part of a groundbreaking series of initiatives that address the underrepresentation of women in film, music, television and theatre. The QAF awards project-based grants to Queens artists, collectives, and small non-profit organizations, and the AWAW EAG program supports environmental art projects led by women-identifying artists in the U.S. and U.S. Territories. 

The Program Officer will be part of a small team and will need to be flexible and willing to take on additional responsibilities throughout the year relating to administering NYFA’s awards and grants programs. Ideal candidates will have strong project management and communication skills, with prior experience in grants management.

Key Duties

  • Create program guidelines, application forms, final reports and administrative documents relating to grant programs, with collaboration and support of the Program Associate.
  • Assemble unique panels for each program, including researching, contracting and onboarding panelists
  • Moderate panel review sessions in conjunction with other members of the Grants team
  • Monitor application submissions and answer questions from potential applicants
  • Conduct information sessions for grant cycles both online and in-person, as needed
  • Create contract agreements between recipients and NYFA
  • Assist with research and outreach to attract qualified grant applicants and panelists
  • When relevant, work with recipients to establish benchmarks to ensure projects are completed within the designated timeline
  • Work with colleagues across NYFA departments to ensure proper marketing of programs, and necessary reporting to funders, is done in a timely and thoughtful manner
  • Where needed, provide support to special projects and assignments, and troubleshoot issues that arise in collaboration with the Director

Other Duties

  • Work with Program Associate and NYFA Finance to process and keep track of payment requests
  • Keep up-to-date records for artists and projects, conducting surveys when needed
  • Contribute to NYFA’s data retention by maintaining accurate records and files in NYFA’s application information database
  • Create content to assist applicants throughout application process
  • Contribute to the ongoing growth and development of the department by keeping abreast of industry changes (arts & culture; grantmaking; etc.), and implementing new initiatives

  • Ability to work independently and efficiently
  • Strong organizational skills and be highly detail-oriented
  • Ability to proactively plan, thoughtfully problem-solve, and manage complex projects with fast-paced timelines
  • Strong communication skills, both verbal and written
  • Highly proficient with G Suite and Microsoft Suite, particularly Excel
  • Past experience with Submittable, NeonCRM, SalesForce, and Asana a plus
  • Ability to work collaboratively with colleagues, as part of a small team
  • Ability to interact professionally with various constituents and stakeholders

Qualifications

  • At least 3 years of related experience in arts administration, program management, and/or other relevant grantmaking experience preferred
  • A strong understanding of artistic and/or creative practices, including visual, performance or literary disciplines 
  • Ability to read and understand artists’ project budgets
  • Strong administrative, organizational, time and work-flow management skills
  • Ability to master details, manage multiple priorities and meet deadlines, with a small margin of error
  • Ability to work independently and as an effective member of a team
  • Working with people of all temperaments and levels of experience

Salary & Benefits:

This is a full-time position at 40 hours per week (M to F, 9.30am to 5.30pm with some extra hours as required). Salary is $54,000, paid time off: vacation, personal and sick days, employer contribution for health insurance with optional dental and vision (eligible at the first of the month after the hire date), 403b (employer matching contributions available after a 3-year term of employment).

Location & Hybrid Office

If you live within a 40 mile radius of NYFA’s office in Manhattan, this is a hybrid position with three days in-office (Tuesday – Thursday), and two days remote (Monday & Friday). The option to work full time in the office is also available. For those living outside of this radius, the position is offered as a fully remote.
