Position Summary

We seek diverse, qualified candidates for the Program Assistant position at the Association of Art Museum Curators (AAMC) and AAMC Foundation. We seek a team member engaged in our mission that will work collaboratively to achieve our goals.

 

One year of full-time or internship experience in an arts organization is required. Committing to our mission and vision is vital to this position. The role reports to the Senior Program Manager and the Executive Director and will collaborate with the entire team and outside consultants. All responsibilities include executive, programming, fellowship, Conference, administrative, events, and overall program work.

 

Responsibilities 

The Program Assistant serves as the operational point person for programs. They manage and coordinate work, activities, and projects supporting programs (events and fellowships), including in-person and virtual.

  • Perform high-level, administrative duties for the Executive Director, Senior Program Manager, and Board, often dealing with highly sensitive and confidential matters and individuals with diplomacy, respect, tact, and discretion.
  • Submit and manage invoices, receipts, requests, communications, and overall material to the Development and Office Administrator and/or outside accounting firm.
  • Execute daily administrative requests, such as letters, mailing, contracts, calendars, contacts, and list management. 
  • Prepare meeting materials for the Executive Director, Senior Program Manager, and Board, as requested.
  • Coordinate and assist with the annual Art Curators Conference, including working closely with the Conference Producer and Executive Director in the planning and execution of the program. Responsibilities will include scheduling and presenting practice sessions, enacting a marketing plan, creating social outreach, maintaining and updating registration/RSVP listings, securing payments, processing and submitting speaker payments, tracking documents and acknowledgments, and additional items.
  • Manages administrative aspects of all programs, including calendars, data tracking, registrations/RSVPs, invitations, payment information, budgets, outreach, tracking/management, and more.
  • Identify, update, and create content for website, social, newsletters, and other areas of outreach.
  • Coordinate and provide administrative support on fellowships, intensives, online learnings, projects, events, and initiatives.
  • Strengthens and furthers relationships with members, individuals, organizations, and other partners through this role by delivering excellence through every process.
  • Manage, update, and maintain all databases and files.
  • All other tasks as assigned.

Qualifications

A bachelor’s degree with at least one year of professional nonprofit work/internship experience is required. A track record of detailed work, deadline management, and familiarity with visual arts and museum philanthropic organizations is useful. Exceptional writing and interpersonal, customer service, and project management skills are essential. Computer and technical acumen for MAC Operating systems and programs, Microsoft Office Suite, Membership and Fundraising CRMs, graphic design (Canva), online events, and communications (Socio, Mailchimp), mail (digital and print) and phone communications are needed, with the ability to learn additional programs and skills as needed.
