Tia Collection is a global art collection with a mission to support artists and institutions through our acquisition and lending programs. The collection ranges from 13th and 14th-century Classic Indian miniature paintings, French Impressionism, and historic Western American and Spanish Colonial work to Modern and Post-War/Contemporary works, with a focus on historic and contemporary Indigenous artists.

Seeking: An experienced candidate to fulfill the diverse duties of the Registrar position.

Responsibilities include daily hands-on management of the collection’s inventory (currently over 4,200 works), while working directly with the Curator, Assistant Registrar, Preparator, Collections Manager, Project Manager, Archivist and Media Manager and remotely with the Database Manager.

The successful candidate must be extremely organized and self-directed with a strong sense of initiative in this pivotal position, which also oversees the Assistant Registrar and IAIA intern and works closely with the Preparator, Collections Manager and Curator. Must be able to balance multiple projects at once in a timely manner, ask questions, prioritize and refine one’s understanding of the needs of the position in our fast-paced work environment, while also processing large amounts of data, both in digital and paper formats. The Registrar will coordinate with the Preparator on the location, safety, movement and transport of all works of art. Strong writing and research skills and corresponding inquisitive thought process crucial, as is the ability to interact confidently with all levels of museum directors, curators and registrars.

Responsibilities:

  • Catalogue recently acquired artwork and maintain extensive inventory database on Argus platform.
  • Prepare and maintain hardcopy hanging files for all artwork, including scanning and uploading related documents and condition reports.
  • Assist with collection management and movement of all artwork.
  • Work with the Assistant Registrar, IAIA intern and Preparator to prepare condition reports upon receipt of artwork, as well as prior to shipment for exhibitions and then again when artwork is returned to storage.
  • Work with Registrars at partner museums to receive their incoming and outgoing condition reports, as well as maintaining packing/installation instructions and sharing them with museums.
  • Work with Database Manager to file UCC for all works of art purchased.
  • Work with the Curator and Project Manager in regard to artwork in need of conservation and/or framing.
  • Oversee and conduct yearly physical inventory of the collection both onsite and offsite.
  • With the Preparator, assist Media Manager with pick up and delivery of artwork for photography and returning artwork to bins once job completed.
  • With Collections Manager, assist with development of budgets for traveling exhibitions/loans.
  • Manage and delegate tasks to Assistant Registrar and IAIA Intern.

Education and Work Experience:

  • Bachelor’s degree from accredited college or university required, with course work in art, art history, museum studies or related field a plus.
  • Three years of museum or gallery registration and/or collections management experience necessary.
  • Knowledge of American art and a familiarity with artist’s materials important.
  • Knowledge of collections management practices and procedures including art handling, storage, tracking of objects and working with conservator and framers.
  • Proficient computer skills with Apple products.
  • Experience with Adobe Photoshop.
  • Excellent communication and interpersonal skills, written and spoken.
  • Ability to independently develop, implement and manage organizational procedures.
  • Self-directed with an ability to prioritize and multi-task.
  • Strong follow-up skills with meticulous and accurate attention to detail.
  • Ability to work within a team environment and to accept guidance and constructive feedback.
  • Ability to understand and maintain the highest levels of confidentiality.
  • Valid driver’s license with a clean driving record required.
  • The successful candidates will be required to pass a routine background check.

Physical Demands and Work Environment:

  • Required to handle and inspect works of art, including paintings, photographs, and sculpture. Knowledge of art inspection procedures and language necessary.
  • Must be able to lift up to 40 pounds.
  • Required to create written descriptions of inspected items.
  • Job duties require prolonged standing and bending, as well as sitting and working at a desk for prolonged periods of time when working on the computer.
  • Good hand/eye coordination is required, including the ability to inspect an object at close range. Position requires adept use of hands to safely handle and move collection objects according to the most current approved museum standards.
  • Work is performed in a storage/office setting where the noise level is low to moderate and offsite at various museum settings.

Job Type: Full-time, Mon.-Fri., 9am-5pm with an hour for lunch or comparable hours without lunch.
