The Program and Membership Assistant plays a crucial role in providing assistance to the League’s programs and operations staff and is often the face of the organization with respect to managing reservations, visitor services, and volunteers. Time devoted to the tasks below will be highly fluid over the course of each month, but over the course of a year will be roughly divided between work directed by the League’s Director of Programs and Membership and Program Manager, work overseeing reservations and visitor services in support of all League events, tasks related to membership renewals and services, and general office tasks.

AUDIENCE SERVICES, RESERVATIONS, CEUs, AND PROGRAM METRICS

  • Manages reservations under the direction of the Program Manager: manages Eventbrite; reviews lists, confirms memberships, and follows up with unconfirmed registrants as necessary; works with office members to manage reservations, comps, and dinner guests
  • Attends venue site visits with Director of Programs and Membership and/or Program Manager; ensures any venue entry requirements are dealt with
  • Manages visitor services at all events, working in coordination with operations and program staff
  • Working with Program Manager, registers Continuing Education Units (CEUs); maintains League’s status as a CEU provider in coordination with the Director of Research and Operations.
  • Reports Continuing Education Unit attendance post-event and emails digital certificates
  • Maintains and manages program reports
  • Ensures all speaker information is entered into Salesforce
  • In coordination with the Program Manager and Production Manager, manages volunteer listserv; schedules volunteers for programs; keeps running record of volunteers by event

PROGRAMS

  • In support of the Director of Programs and Membership as well as the Program Manager, attends all League public programs
  • Assists Program Manager with Student Program, focusing on tracking institutional and student memberships
  • Assists Director of Programs and Membership, Program Manager, and Executive Director with all aspects of preparation for competition juries including:
    • League Prize: reviews portfolios; assists with jury
    • Emerging Voices: works with Program Manager to prepare digital material for first jury and second jury; assists with jury
    • In coordination with the communications team, assists with event website layout, graphic design, image editing, or other activities, as time allows and as assigned
    • Assists with other program-related activities as directed

MEMBERSHIP

  • As overseen by the Director of Research and Operations and the Development and Operations Manager:
    • Ensures all new memberships and renewals are properly acknowledged; sends out receipts and renewal notices on a timely basis
    • Responds to inquiries about membership privileges and tax deductibility
  • Assists Development and Operations Manager and Production Manager on membership-related tasks and special events as directed
  • Enters and maintains membership records in database; supports database work by others
  • Is responsible for the integrity and accuracy of the Salesforce/Patron Manager membership database
  • Oversees membership billing and processing; reconciles income with bookkeeper (prepares membership dues deferral spreadsheet for annual audit)
  • Prepares monthly membership reports; Assembles general information packets as needed for fundraising and cultivation meetings
  • Supports the Development and Operations Manager in the management of the League’s database; maintains and creates reports on members as needed

GENERAL ADMINISTRATION

  • Monitors and distributes the League’s physical mail on a daily basis
  • Manages office phone system, including answering cold calls
  • Assists with administrative requests from Executive Director

Qualifications and Skills

REQUIRED

  • Demonstrated commitment to The Architectural League’s mission: to support transformative work in the fields of the built environment that addresses the converging crises of racism, inequity, and climate change
  • 2+ years administrative experience (which can include experience obtained while working toward a degree)
  • Superb attention to detail
  • Administrative, organizational, and communication skills necessary to carry out the responsibilities as described
  • Love of teamwork and a good team player while working in a collaborative work environment
  • Strong written and verbal communications skills in English
  • A sense of proportion and a sense of humor 

PHYSICAL REQUIREMENTS

  • This position is hybrid, with some in-office presence required
  • Ability to sit or stand at a computer workstation for extended periods of time
  • Ability to maintain physical records and files by bending, reaching, and occasionally lifting up to 25 pounds
  • Ability to communicate effectively with staff members and other stakeholders by email, phone, virtually and in person
  • Some evening and weekend work required
  • Some travel required 
  • Able to work outdoors in inclement weather conditions
  • Able to work in an open office space

Terms

This is a full-time position. Candidates must be located in, or willing to relocate to, the New York City region. We cannot pay relocation expenses. The salary range for this position is $50,000–$56,000, depending on experience. Benefits include health insurance and paid time off (vacation, sick days, personal days, holidays), as well as subsidized monthly transit and a 401(k) plan after six months of employment. The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The specific compensation offered may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.
