Job Summary 

The Development Assistant will be an integral member of the Development Team, providing crucial administrative and operational support, assisting in individual donor cultivation, corporate partnerships, special event production, and the TimeForArt fundraising initiative. The Development Assistant will report to the Director of Advancement.

 

Requirements

Core Duties and Responsibilities

  • Aid in processing all contributions, entering gifts into Bloomerang, submitting gift records to finance, preparing acknowledgement letters, and in-kind donation records
  • Track gifts and maintain donor, prospect, and member information in the donor database
  • Assist in tracking and coordinating fundraising schedules, workflows, calendars, and meeting arrangements
  • Provide administrative support to Senior Development Manager for mailings, proposals, reports, travel, and invitations
  • Assist in preparing Development meeting minutes and coordinating Development intern schedules
  • Assist in tracking, researching, managing corporate outreach programs and campaigns in collaboration with the Head of Partnerships, TimeForArt Managing Director
  • Support the cultivation and maintenance of relationships with corporate partners and contacts throughout the year
  • Contribute to research efforts for corporate partners and sponsorship opportunities, including the TimeForArt fundraising initiative
  • Provide general administrative support to the Head of Partnerships, TimeForArt Managing Director, relating to corporate sponsorships and the TimeForArt fundraising initiative
  • Assist in organizing and drafting social media posts for the TimeForArt fundraising initiative
  • Assist in special projects, such as artist editions, and sponsorships, under the guidance of the Head of Partnerships, TimeForArt Managing Director
  • Support the creation of pitch materials and proposal decks for partners and prospects
  • Assist in the facilitation of partnership contract fulfillment, including annual membership benefits
  • Provide general administrative support to the Director’s office, and Senior Development Manager, including follow-up, filing, and organization of Development and Director related records and correspondences
  • Assist in planning donor cultivation and special events, including opening receptions, dinners, donor events, and fundraising events (e.g., benefit gala)
  • Assist in securing in-kind products and facilitating hospitality for opening receptions and events, including event supplies or equipment needs
  • Contribute to the creation of invitations, such as exhibition and event MailChimp invitations
  • Aid in soliciting and facilitating site-rentals

Qualifications

  • 1-3 years of experience in administration, institutional giving, development, or grant writing
  • Bachelor’s degree or equivalent experience preferred
  • Affinity with the mission of SI
  • Working knowledge of fundraising in a nonprofit context
  • Exceptional communication and interpersonal skills, both written and verbal
  • Proactive and detail oriented, with excellent time management skills
  • The ability to work in a fast-paced and culturally diverse environment
  • Experience with budgets and financial data is a plus
  • Excellent tech/computer skills, proficiency in Microsoft Office, Adobe, Social Media, and other technology platforms
  • Knowledge of and experience with Bloomerang, Mailchimp, WordPress, eTapestry, and other CRMs
  • Arts experience needed
  • Knowledge of French, German, Spanish or Chinese is a plus

Compensation

The Development Assistant is a full-time, exempt position with required work outside of scheduled office hours. The salary range for the position is $50,000 to $52,000.
