Job Status: Part-time, Temp

Location: New York, NY

Salary: $50/hr

Compensation Package: The salary for this part-time, temporary position is $50/hr. The position will exist for the length of the Annual Exhibition, beginning with the planning stage and ending with the de-installation. It is estimated to begin early February 2024 and end in September. Our office hours are Monday to Friday, primarily 9:00 am-5:00 pm. This position is primarily onsite at our offices/gallery space in Chelsea and remote options are limited.


The National Academy of Design seeks a part-time, temporary Project Registrar to join its Collections team to assist with the planning and organization of our upcoming 2024 Annual Exhibition. The role is estimated to last approximately eight (8) months and will work collaboratively across Academy departments.

ABOUT THE ANNUAL EXHIBITION 

The National Academy of Design’s Annual Exhibition is a tradition dating back to the founding of the Academy and was first held in 1826. Held continuously until 2015, the Annual serves as a forum for showcasing contemporary art and architecture in America. While its format and structure have varied widely over the years, the Annual is an important platform for exhibiting new work and ideas by National Academicians, as well as in some years by invited artists and architects. With the opening of the Academy’s new home, the 2024 Annual Exhibition will be the first in-person Annual held since 2015 and provides an exciting opportunity to revive and reinvent this tradition in our new Chelsea location.

The Project Registrar will be a key member of the team for the 2024 Annual Exhibition. Responsibilities will include:

  • Send, and monitor the return of, prospectus/entry forms to all National Academicians and keep track of submitted artworks 
  • Coordinate and review all loan documentation with potential lenders including insurance coverage and transit receipts
  • Send COIs to all lenders who require it
  • Coordinate the packing and shipping arrangements for approximately 125 artworks, both locally in NYC and across the U.S. 
  • Serve as a liaison between the National Academy and lenders
  • Maintain the status of all shipments and coordinate with the Gallery & Operations Manager to receive and disburse shipments
  • Provide regular updates to supervisors and National Academy staff as needed
  • Follow existing National Academy protocols and standards for collections management
  • With Academy Registrar, oversee installation and de-installation of the works in the exhibition
  • In conjunction with Academy Registrar, create and conduct condition reports for all works upon arrival and before return, according to National Academy protocols
  • Enter all Annual-related information into collections database (TMS)
  • Help track and monitor exhibition budget
  • Coordinate the fabrication of any necessary exhibition furniture, framing needs
  • Other Annual exhibition-related requirements, as needed

QUALIFICATIONS

  • Minimum of two years of experience in museum registration
  • Familiarity with TMS, or other collections management databases
  • Eagerness to learn preservation practices and procedures, including safe handling and movement of objects, digital asset management, and standard cataloging and data entry practices
  • Excellent verbal and written communication 
  • Detail-oriented and possessing the ability to work independently in a fast-paced environment
  • Physical ability to lift and move artwork/crates and other work-related equipment, climb ladders, and stand for extended periods of time
  • College degree, and graduate work in museum studies, art history, arts management, or related field a plus
