Description
Reporting to the Building and Preservation Project Manager, the Capital Project Specialist is responsible for ensuring that the museum’s ongoing multi-million-dollar capital building projects adhere to authorized scope, schedule, and budget parameters. The Capital Project Specialist keeps the Building and Preservation Project Manager informed, proactively agging risks and highlighting potential solutions. The multifaceted project encompasses building and preservation enhancements of the Yale Center for British Art building designed by the internationally acclaimed
American modernist architect Louis I. Khan. Projects include LED lighting installation, natural light reduction, renovating the existing imaging studio, and tting out a new space for the museum woodshop, among others. The Capital Project Specialist provides day-to-day management and leadership during all phases of the projects. Serving as the main liaison between a wide constituency including museum staff, Yale facilities, vendors, contractors, consultants, and other stakeholders, the Project Specialist develops agenda items, facilitates project team meetings, and prepares summary documentation for distribution. Using project management software, the Capital Project Specialist creates and manages schedules, timelines, budgets, and action items. The Project Specialist documents and archives essential correspondence, change orders, photos, records, and drawings, ensuring that all are available, properly labeled, and stored. The Project Specialist may perform other duties as required to achieve project objectives.
Essential Duties
- Manages special projects ranging from academic to financial from inception to completion, which requires quantitative analysis, independent research, and the proposal of resolutions or conclusions. Creates and envisions programmatic initiatives and communication strategies. 2. Designs and develops communications strategies for special projects. Develops and exercises a keen understanding of the multiple audiences and contributing University offices involved in a given project to ensure that individual communications are rolled out within a structure planned in advance and with appropriate communication among key stakeholders. 3. Envisions, creates and authors a wide variety of sensitive and high- level written materials. Serves as coordinator and executor for a range of internal and external committees. May participate in decisions regarding committee work. Advises panelists on precedents and prior actions. 4. Serves as Secretary for committee(s), manages informal and formal resolution processes and voluminous correspondence. 5. May supervise the work of project coordinator and administrative staff. 6. Serves as liaison to other departments on all communications. 7. Contributes to design, organization, and maintenance of department website. 8. May perform other duties as assigned.
Required Education and Experience
Bachelor’s Degree in a related field and four years of related work experience or an equivalent combination of education and experience.
Required Skill/Ability 1:
Knowledge of large-scale, complex, planning, design, and construction projects. Demonstrated success in managing complex projects to conclusion, meeting deadlines, and keeping within budget. Knowledge of architectural and construction methods, practices, and principles.
Required Skill/Ability 2:
Demonstrated ability to summarize highly complex issues and data for presentation and action.
Required Skill/Ability 3:
Exceptional written, oral, interpersonal, and presentation skills, the ability to effectively interface with various project stakeholders. Flexible, collaborative, and proactive communication skills. Team leader who, without supervisory authority, can positively and productively inuence others.

Preferred Education, Experience and Skills:
Preferred museum general operations and museum renovation experience. Preferred university and/or large-scale capital project experience.
