Job Description:

Position: Traveling Exhibitions Coordinator

Department: Art Bridges Foundation

Reporting to: Traveling Exhibitions Manager

Location: Bentonville, AR

Salary Range: $55,000 – $65,000

About The Position

Art Bridges is seeking a skilled, highly motivated professional to join our Traveling Exhibitions department. This position requires excellent communication and project management skills. Candidates should demonstrate prior success supporting multiple projects with overlapping timelines and tracking budgets. The ideal candidate will be a natural diplomat who is committed to inclusivity and working closely with museums of all sizes. You will aggregate, develop, and disseminate exhibition materials to internal and external stakeholders; foster collaboration and collegiality among stakeholders; monitor overall project timelines and deliverables; ensure contract compliance; oversee project budgets; and support our partners as needed. Each traveling exhibition project is distinct and unique, requiring flexibility in the type and level of support required.

Responsibilities

  • Provide support to Art Bridges partners for multiple, overlapping traveling exhibition projects
  • Market exhibitions and secure venues
  • Adapt and review contracts
  • Ensure venues and organizing institutions comply to all contract terms
  • Create project timeline and track deliverables
  • Aggregate and disseminate exhibition materials to venues (including budget, checklist, interpretation materials, installation information, etc.)
  • Collaborate closely with internal and external colleagues
  • Assist with venue funding applications as well as the review process and budget feedback
  • Schedule timely meetings, prepare agendas, and facilitate positive and productive meetings
  • Organize, maintain, and archive project files and exhibition documentation
  • Maintain current project statuses and tour dates in SharePoint and Salesforce database
  • Organize and maintain project budgets; track spending against project budgets, and alert partners to potential budget overages
  • Generate financial reports and budget status updates upon request
  • Ensure project invoices and payments are completed in a timely manner
  • Respond to partner emails and phone calls promptly and professionally
  • Assist with Art Bridges interns
  • Perform other duties as assigned

Qualifications And Skills

  • Bachelor’s degree in art history, museum studies, arts or business administration, communications, or equivalent degree/experience
  • 3 years’ proven experience and success in project management and meeting deadlines in a fast-paced work environment; museum and/or gallery experience is required
  • Experience assisting with art handling and installation, understanding of condition reporting processes, familiarity with gallery layouts, and experience with traveling exhibitions preferred
  • 3 years’ prior experience managing budgets is required
  • Proficiency in Microsoft Office applications: Word, Excel and PowerPoint are required
  • Experience with or an ability to quickly learn specialized software systems is required, including Wrike, TMS, Salesforce, PowerPlan, and Workday.
  • Professional and approachable with excellent communication, organizational, and interpersonal skills
  • Detail oriented
  • Ability to work independently and with diverse personalities
  • Ability to understand and maintain the highest levels of confidentiality and discretion
  • Willingness to work weekends and evenings, and adjust hours, as required
  • Ability to travel domestically as needed to support art exhibitions

Physical demands: Position requires using a computer and telephone for prolonged periods of time, good eye/hand coordination, verbal, and written conversation with others, and lifting/carrying up to 30 lbs. Vision abilities required by the job include close vision.

Work environment: Work will be performed in an office environment, museum spaces, and in communities served. Occasional evening and weekend hours may be required. Work hours during normal activities are 8-5, Monday through Friday, in the Art Bridges offices.
