Associate Exhibitions Registrar

Worcester Art Museum (WAM) is seeking an experienced individual to fill the new role of Associate Exhibitions Registrar.  Reporting to the Registrar for Loans and Exhibitions Management, you will be responsible for overseeing the planning and delivery of the museum’s exciting program of temporary exhibitions and permanent gallery changes.  You will bring your experience working to the highest standards in a museum environment to the management of WAM’s temporary exhibitions, permanent gallery refreshes, and installations.  You will thrive at WAM with excellent organizational skills and a flexible, pragmatic approach in a dynamic work environment. Job Overview: 

Coordinate the planning and delivery of temporary exhibitions and permanent gallery change projects.

Duties/Responsibilities: 

  • Project-manage multiple temporary exhibition and permanent gallery change projects concurrently, through the project’s life cycle from the point that projects are approved by the Museum’s Exhibitions Planning Group through development of scheme and detail design to content development, construction, and installation planning to deinstallation.
  • Working in consultation with the Museum Content Group, establish cross-departmental project teams, for the delivery of temporary exhibition and permanent gallery change projects.
  • Establish project timelines and deliverables, ensuring that all departmental needs are identified and met. Establish key milestones for projects that are achievable, and delivery focused.  
  • Initiate and chair exhibition and gallery change project meetings.
  • Lead teams comprising curatorial, conservation, education, registration, exhibition services, building services, marketing, advancement, and protective services departments. Coordinate the activities of project teams to ensure temporary exhibition projects and gallery change projects and any associated catalogs, publications or digital media content are delivered on schedule and to budget.
  • Act as the key point of contact for exhibition and gallery projects, liaising with a wide range of internal and external stakeholders, including contractors and designers.
  • Working with the Registrar for Loans and Exhibition Management, identify risks and regularly review risk with project teams throughout each project.
  • Manage temporary exhibition and permanent gallery change project budgets, tracking expenditure, forecasting, and regularly reporting to the Director of Curatorial Affairs. Assists in the preparation of project budgets with members of the curatorial team.
  • Working with the Director of Curatorial Affairs, ensure exhibition contracts, design contracts and contracts with guest curators are in place and maintained.
  • Design and conduct project evaluation and de-briefs, producing evaluation reports for the Exhibition Planning Group.
  • Develop, implement, and maintain procedures and systems for the effective delivery of temporary exhibition and permanent gallery change projects.
  • Maintain and update records within the Museum’s TMS Collections Management System relating to temporary exhibitions and gallery change projects. Archive all paper-based records and files for all temporary exhibition and gallery change projects in the Museum Archive.
  • Deputize for the Registrar for Loans and Exhibition Management in his/her absence; attend curatorial, exhibition, or other meetings to discuss and advise on collections and exhibition management matters, as needed.
  • Serve as a courier for outgoing loans; travel with objects on domestic and international shipments as required; act as Museum representative as necessary.
  • Assist with training and supervision of volunteers, interns, and other staff assisting in exhibition management projects.
  • Perform other related duties as assigned.

Requirements

Qualifications: 

  • Experience of project managing museum exhibition and gallery projects.
  • Knowledge and understanding of standards for exhibitions management.
  • Knowledge of collection management systems, TMS preferred.
  • Experience of using project management tools, including budgets, schedules, and risk registers.
  • Excellent interpersonal, organizational, and communication skills
  • Ability to be attentive to detail and accurate.
  • Ability to handle multiple assignments simultaneously and to work to strict deadlines.
  • Ability to act as Museum representative.

Education and Experience: 

B.A/B.S. degree in Museum Studies, Art History, or equivalent experience in related field; M.A/M.S. preferred.

Three years museum registration or exhibition project management experience required.
