Position Type: Experienced; Part-Time permanent, with full benefits
This is a part-time job (30 hours per week) with full benefits, primarily on-site at Skowhegan’s NYC space. The Office Manager/Directors’ Assistant provides support to the Co-Directors on a variety of projects and organizational matters, including liaising regularly with the Board of Trustees and Governors and providing accounting support. They are responsible for the oversight of Skowhegan’s workplace, equipment, supplies, and on-site artworks, and enable the smooth operation of the School’s year-round hub.
Office Manager (40%):
● Manage office vendors and services to keep space maintained and functioning smoothly;
● Point person for office IT systems, support and services;
● Inventory and organization of office supplies and stationary;
● Maintain Skowhegan administrative calendar (holidays, annual tips, inspections, building-wide notices, recurring events, etc.);
● Participate in site storage planning;
● Sort, scan, manage incoming and outgoing mail and packages;
● Monitor general voicemail;
Art Inventory and Sales (20%)
● Maintain art database (includes benefit editions and works that are NFS);
● Issue and send invoices;
● Manage art packing and art sales fulfillment, including shipping or delivery;
● Maintain physical care of inventory of artworks and special inventory (paintings, works on paper, and prints; campus t-shirts; artists mugs)
Administrative Support (40%):
● General admin support for Directors, with a particular focus on admin related to the Boards of Trustees and Governors
○ Maintaining roster of board contact information, and circulating annually;
○ Maintaining governance folders (digital and hard copy) and ensuring compliance for annual board business matters (conflict of interest, election cycles);
○ Preparing board meeting and committee materials (Zoom management for virtual events, recording and transcribing meetings; catering, A/V setup, and other in-person logistics);
● Maintain key administrative files and office organization (document retention)
● Accounting: recording invoices and receipts (year-round NYC & campus expenses in Maine), coding credit card bills, check deposits, audit support, and miscellaneous accounting as required;
● Other project support as needed
Desired Skills & Experience
Bachelor’s degree or equivalent experience. Candidates with a combination of some of the following traits are encouraged to apply:
● Excellent interpersonal and communication skills
● Ability to manage and liaise on multiple projects at one time, problem solve independently, and organize a multi-faceted office environment
● Self-motivated, capable of close attention to detail, and comfortable working as part of a team
● Discretion and ability to maintain confidentiality
● An aptitude for troubleshooting IT issues
● Proficient in Google Suite; Microsoft Suite; Filemaker Pro; Zoom; Airtable
● Interest in contemporary visual arts
Compensation & Benefits
30-hours weekly, with full competitive benefits. Occasional early mornings and evenings are required. Primarily an in-office role, with flexibility for how the hours are spread across the week. Salary range: $43,000 – $50,000 (please note: salary is prorated for 30-hours/week)
