Position Description:
The Membership associate is part of a 15-person department that is responsible for raising approximately $7 million in annual operating support from a variety of funding sources. This position reports to the Membership manager. The associate is a key part of a four-person team that serves over 21,000 member households and raises $2+ million in membership revenue through multichannel direct mail campaigns, online solicitation, and onsite sales, with a goal to increasing net revenue and growth in the membership base. In this high-volume membership office, the associate must possess excellent organizational, customer service, writing, and computer/data management skills. The associate will also work with Development department staff to support fundraising efforts in other areas as needed.
Responsibilities:
- Act as primary phone and email contact for all questions concerning membership, providing timely and efficient customer service to the 21,000+ membership base via telephone and email. Duties include, but are not limited to, answering questions regarding benefits and general information; processing requests for replacement membership cards and missed publications; fielding general complaints and queries; and renewing, upgrading, and selling memberships by phone when working in the office.
- Maintain membership database records, including creating new records, making address, and coding changes, updating information, and ensuring maintenance of clear, complete, and up-to-date records.
- Process onsite membership sales and provide settlements to business office.
- Coordinate renewal notices for gift giver and library renewals, ensure timely production and mailing. Run queries and exports of data files as needed.
- Provide administrative support for membership events and day-of logistical support.
- Assist with production of Plants & Gardens members’ newsletter and member emails.
- Renew and acquire new local businesses to participate in the members’ discount guide.
- Play active role as part of the larger Development team to strategize new ways to increase revenue for the Garden.
- Assist with donor cultivation events, fundraising events, and other special projects as needed throughout the year.
- Perform other duties as assigned by supervisor.
Qualifications:
- Excellent organizational, writing, and computer skills
- Experience with Raiser’s Edge or other database desired
- Nonprofit experience, or strong interest in cultural institutions, environment, education, and or/science preferred
- Ability to meet deadlines, work on multiple projects, and be detailed-oriented
- Motivated, energetic team player able to prioritize and work independently, as well as interact with donors and staff of all levels
- Available to work evenings and occasional weekends particularly during the Garden’s peak season (MarchOctober)
- Ability to work outdoors during events (1520 times per year), as well as lift and carry membership and event materials as needed (lift no more than 25 pounds, 45 times a year)
