The Job
Maintain and coordinate activities involving the museum’s collections management database (currently TMS/The Museum System).
In this role, you will….
1. Maintain data integrity and standards
- Serve as institutional Data Steward for collections data.
- Manage and assist in the development of data entry standards for the collections management database. Maintain data integrity and conformity.
- Collaborate with other departments to ensure that cataloguing standards are followed and to address issues with how collections data appears on Mia website.
- Develop and implement auditing system for the collections management database.
2. Workflow, support, training.
- Provide introductory and refresher training for museum staff in the use of TMS.
- Process and maintain documentation for the Collections Management and Information Knowledge Base digital manual (currently hosted in Google Sites).
- Suggest and assist in the development of collections management database policies.
- Serve as the subject matter expert and primary support provider for the collections management database.
- Actively participate in major projects and activities that require access to the collections management database.
3. Reporting
- Create new and manage existing reports within collections management database (currently using Crystal Reports).
- Maintain standards for all reports and document all reporting procedures. Respond to requests for reports in a timely manner.
- Provide any new or existing reports for the Board of Trustees as necessary.
4. Technical
- Partner with teams across the institution to collaborate with projects that interface with the collections management database, bringing systems and processes from the planning phase to the implementation phase. Once implemented, work with teams to provide management, training, and support of these systems and processes. This includes working on collections management system updates and features, ensuring data security and integrity, systems integrations, troubleshooting syncing issues, and performing regular maintenance.
- Manage user accounts, security, and access privileges for the collections management database.
- Maintain knowledge of the collections management system software and reporting tools (currently TMS and Crystal Reports).

Specific Requirements
Required:
- Bachelor’s degree, preferably in Art History, Museum Studies, IT, or related field; OR applicable experience demonstrating abilities in data management and reporting
- Minimum of 2 years’ experience in data management with complex content database systems
- Some experience with or knowledge of museum collections management systems, with preference to proficiency in The Museum System (TMS)
- Proficiency with Crystal Reports or similar reporting tools
- Familiarity with Microsoft Access
- Proficiency with the SQL query language
- Familiarity with data security best practices and data governance concepts
Preferred:
- Master’s degree in Art History, Museum Studies, IT, or related field
- Data management and reporting experience in a museum setting
- Experience in museum registration; knowledge of basic collections management and registration procedures
- Project management experience
- Experience completing long-term data cleaning projects
- Experience implementing museum cataloguing standards and controlled vocabularies
- End-user support and training experience
