About the Museum:

The Studio Museum in Harlem is the nexus for artists of African descent locally, nationally, and internationally and for work that has been inspired and influenced by Black culture. It is a site for the dynamic exchange of ideas about art and society. The Studio Museum is in the midst of a comprehensive, multi-million-dollar Capital Campaign to build a new museum on 125th Street in Harlem, designed by architect Sir David Adjaye.

About the Position:

The Development Associate will support the work of the Institutional Giving area at the Studio Museum, which encompasses relationships with Foundations, Government agencies, Corporations, and individual donors to the Capital Campaign. Tasks include managing the grants calendar and liaising with finance, development, operations, and other departments as necessary. A successful candidate will be professional, organized, self-motivated, detail-oriented, creative and able to oversee and manage and support multiple projects under tight deadlines. The candidate must possess interpersonal skills and an ability to work collaboratively with staff, peers, volunteers, donors, prospects, and others as appropriate. The Associate will facilitate data records, maintain acknowledgements, and conduct research to help the Museum reach its fundraising goals.

Essential Job Duties and Responsibilities

  • Gift Processing/Acknowledgment/Data Management
  • Maintain files and data records—enter prospect donor information; reminders, actions; opportunities, appeals, and gifts, payments and pledges into Raiser’s Edge/Tessitura, the Museum’s database systems.
  • Process payments and gifts and manage pledge invoicing to ensure installments are made according to schedule.
  • Ensure accuracy of donor credit lines.
  • Update pipeline and trackers when gifts/pledges are received and maintain accuracy with Raiser’s Edge/Tessitura.
  • Acknowledge gifts, pledges, and payments.
  • Complete analytics of fundraising and Capital Campaign performance over the years to improve operations and increase fundraising pace where possible.

Grant Reporting Management

  • Manage master calendar of events and actions including meetings, reports, appeals, deadlines, due payments, and events.
  • Draft and edit appeals, letters, and campaign reports to individuals and foundations as appropriate.

Campaign Operations

  • Track and assist with prospect stewardship through preparing research profiles, coordinating meeting requests, and generating meeting briefs.
  • Maintain and update list of named spaces and opportunities in the new building.
  • Draft correspondence as appropriate for Trustees, Director Chief Curator, and Chief Advancement Officer.
  • Draft and edit appeals, letters, and presentation decks to individuals and foundations as appropriate.
  • Help coordinate Campaign events and supporting Museum-wide events i.e. Luncheon and Gala and other major gifts events.
  • Other duties as assigned.

Travel Requirements:

  • We expect our team to travel 2-3 blocks between site locations.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times

  • Tessitura or donor database experience preferred.
  • iWave or other research tools

Salary Range: $50,000 and is commensurate with experience within the guidelines of a small not-for-profit.
