Job Title: Project Coordinator

Job Status: Full-time

Location: Minneapolis, MN

Salary:  $28.92 – 30.44/hour


The Job

Track and coordinate assigned Design & Editorial Department projects from conception to completion across museum divisions and initiatives. Coordinate and communicate schedules, budgets, and quality control measures for assigned projects with internal and external sources. Oversee Design & Editorial stationery and departmental office supply orders.

In this role, you will….

1. Traffic, scheduling, and project coordination

  • In tandem with Head of Design & Editorial, develop project schedules at the outset of a project with key dates and key resources. Communicate schedule to department staff and museum clients by keeping Master Project schedule current. Generate reports as needed.
  • Monitor and update schedule as project progresses. Proactively alert supervisors and project team to any problems that may adversely affect project outcome.
  • Organize and schedule appropriate group sessions (brainstorming, troubleshooting, postmortems, etc.)
  • Perform traffic coordination, scheduling, and budgeting duties on assigned projects.
  • Act as a link between department staff, museum clients, vendors, and management.
  • Communicate issues and problems between affected sources.
  • Facilitate meetings as required and appropriate to efficiently work out solutions to problems that arise in the course of a project.
  • Adhere to routing and sign-off procedures and documents as assigned.

2. Coordination of Print Buying, Maintenance, and Quality Control.

  • Reorder Design & Editorial stationery materials when alerted by the Office Services Coordinator
  • Generate purchase orders, obtain proper approvals, and distribute to suppliers in tandem with Head of Design & Editorial and Graphic Designers.
  • Reconcile invoices and approve for payment between accounting and vendors.
  • Maintain central files for project documents and printed samples.
  • Provide final proofing and check for completeness and accuracy prior to release to pre-press and/or printer.
  • Maintain project files on server.
  • Place department’s office supply orders and upkeep printer maintenance.

3. Budgeting

  • Work with Head of Design & Editorial and Head of Communications to develop master schedule at start of each fiscal year.
  • Alert Head of Design & Editorial if projects are over budget.
  • Forward purchase orders to Head of Design & Editorial for approval and payment.

To be successful in this role…

You are highly organized, able to handle multiple priorities and interruptions, and can monitor and track projects to keep team members informed of deadlines. You have excellent written communication and editing skills and a high degree of accuracy.

Specific Requirements

Education: College degree or equivalent experience required. College coursework in either the arts, marketing, graphic design, strategic communications, writing, and/or journalism preferred.

Skills/Experience Required: Two or more years project coordination experience in a nonprofit, museum, agency, or professional publishing environment. Proficient in business application software (Word, Excel, and Access) and Adobe InDesign and Illustrator. Project/Task Management software experience preferred (Asana, Google Workspace, Trello, etc.). Ability to work in a positive, cooperative manner with internal clients.

Background Check Requirements: Satisfactory criminal background check required.

Equipment Operated: Macintosh computer, telephone, copy machine, printer, and fax machine.
