POSITION OVERVIEW

The Development and Special Events Production Coordinator plays an active and pivotal role in the New Museum’s Development Department by providing administrative support for patron events and the Museum’s special event rental program. Patron events include high-level patron group events and tours, exhibition previews and dinners, member parties, and the annual Spring Gala. This role works closely with development staff, engages interdepartmentally, and interacts with external vendors to support event production. The Development and Special Events Production Coordinator reports to the Special Events Producer and is part of the Development department.

ROLE SUMMARY:

* 6 MONTH CONTRACT POSITION* Working hours will be 40 hours/week. The Museum’s administrative office hours are 10:00 a.m. – 6:00 p.m., Monday through Friday; this position requires flexibility of hours, with work on weekends, early mornings and late evenings to support events.

PRIMARY RESPONSIBILITIES

· Provide administrative and logistic support for patron events, the Museum’s event rental program and the Museum’s travel program. Assist with execution and production of patron dinners and donor receptions, Spring Gala, and capital campaign events.

· Conduct prospect research for event rentals, fundraisers, and patron programs.

· Coordinate event invitations, guest lists, and RSVP lists, liaising with various Museum departments and external partners.

· Process gifts and maintain accurate donor records in fundraising database; prepare tax acknowledgements.

· Assist in tracking rental event revenue, fundraising event revenue, travel program revenue and other gifts, generating gift and donor reports.

· Track and share project timelines, calendars, check lists, work request and memos to support interdepartmental communications and assure efficiency for internal and external event execution.

· Provide logistic support for the Museum’s patron travel program, including coordination with venues and vendors; hotel, restaurant, and travel logistics; tracking and coordination of special travel requirements for guests and hosts; planning, confirmation and follow-up communications.

· Update and maintain Special Events guidelines and training manuals with Special Events Producer

QUALIFICATIONS AND REQUIREMENTS

Bachelor’s degree and at least 2-4 years’ experience working in donor development or events (fast-paced, high-level customer service) experience is required. Proficiency in Microsoft Office and Raiser’s Edge or comparable donor database program is essential.

Strong candidates must have superb organizational and project management skills with a strong ability to manage multiple projects simultaneously; excellent interpersonal and communication skills (verbal and writing); ability to prioritize tasks to meet deadlines; and a strong self-motivational drive. Outstanding attention to detail is essential. Experience with processing payments and with a content management database required Excellent skills with Microsoft Office, Zskipster, Raisers Edge or equivalent, Asana and other project management systems a plus. An appreciation for and interest in contemporary art is highly desirable; ability to work productively with diverse constituencies is essential.
