About The Department
Our cross-disciplinary team consists of 31 members, representing Exhibition Design, Graphic Design, Lighting, Production and Operations. The scope of the department is significant, and includes approximately 50+ exhibitions and rotations per year, capital construction and buildings projects, as well as permanent collections and gallery reinstallation projects. In addition to exhibition materials, the department produces approximately 200+ communication design projects a year, including branded collateral and bespoke event identities. The studio provides design services for a building that is over 2 million square feet and contains objects from 17 curatorial departments, collaborating with over 50 departments to serve an average of over 7 million visitors annually.
General Statement Of Responsibilities And Duties
You will oversee all exhibition operations for the design department and be a key liaison with the Design managers as well as the Exhibitions and Buildings teams. Working under the studio Project Manager, you will be responsible for creating and maintaining complex exhibition schedules, synchronizing multiple project calendars with key stakeholder groups, and assisting with project management with the Project Management team. In this role, you will be engaged in all aspects of the design process as well as the inner workings of a large-scale studio within a high caliber museum environment
PRIMARY RESPONSIBILITIES & DUTIES:
- Create and maintain multiple schedules for exhibitions and other in-gallery projects in collaboration with Design managers, Exhibitions and Buildings departments, and in coordination with overall exhibition and in-gallery project schedules set by the Exhibitions team.
- Synchronize and maintain designer workload reports in conjunction with Exhibition and Graphic Design Managers.
- Assess and innovate project management systems with the team to optimize support of exhibition and installation design processes.
- Manage and analyze time tracking data to innovate processes in collaboration with Data Analytics team.
- Coordinate contracts and RFPs for external collaborators (illustrators, cartographers, and production vendors) in coordination with Assistant Administrator and Project Manager.
- Schedule select internal milestone meetings for exhibition design projects and organize submission of exhibition project budgets from Design.
- Work in conjunction with Production Coordinator to synchronize exhibition graphics and promotional graphics schedules with exhibition design schedules.
- Oversee the exhibition casework inventory, storage, and transit process.

REQUIREMENTS & QUALIFICATIONS:
- BA, BFA, or equivalent experience required
- 2 years of experience in a related role
- Project management experience in a design or architecture studio preferred, museum or gallery experience a plus
- Fluency in Microsoft suite and Adobe Acrobat required
- Familiarity with Jira, Vectorworks, CAD, 3dMax, Rhino, and/or InDesign a plus
- Familiarity with project and resource management software a plus
COMPENSATION RANGE:
- Pay Range: $68,000 – $73,000
